We are seeking a highly organized and proactive Executive Assistant to support the Managing Partner in a fast-paced, dynamic environment. This role requires exceptional attention to detail, strong communication skills, and the ability to manage competing priorities with discretion and professionalism. The Executive Assistant will oversee scheduling, travel, client interactions, and day-to-day administrative operations, ensuring the Partner is fully supported.
Essential Functions
- Manage partners’ calendars, travel, and meeting arrangements.
- Coordinate client meetings and events, including hospitality and logistics.
- Greet and interact with clients and visitors professionally.
- Handle incoming communications: calls, emails, correspondence, and document preparation.
- Maintain document filing systems and Outlook contacts.
- Conduct research, compile data, and prepare reports or presentations.
- Support accounting tasks: prepare forms and maintain financial records.
- Complete assigned projects and administrative duties as needed.
Requirements
- Strong ability to manage multiple tasks and priorities in a fast-paced environment.
- Bachelor’s degree, or equivalent experience.
- Experience in business management or accounting firms preferred; ability to work with executives and high-profile clients.
- Proficiency in Microsoft Office; strong typing and note-taking skills.
- Excellent written and verbal communication; accurate proofreading.
- Strong organizational skills with the ability to manage shifting priorities.
- Professional, calm, and adaptable in both routine and urgent situations.
- Reliable, punctual, and flexible to meet business needs.
- Must be able to provide evening or weekend support occasionally, depending on business demands.
