Administrative Assistant/Recertification Coordinator Job Description

This position reports to the executive vice president and requires a positive attitude, good communication skills, and project management skills. Candidates should be organized, detail-oriented, self-motivated, and have the ability to set, manage, and meet priorities under changing conditions while working independently. The candidate will also provide administrative support to the EVP in addition to providing customer service support in a small office, team-oriented environment.

Duties and responsibilities:
• Responsible for individual certification and recertification applications, as directed by the Executive Vice President.
• Handles CEC and home study course tracking and administration
• Assist with the Certification Department processes, procedures, and handbooks
• Provide general office and phone support to the certification department, including resolution of customer service issues for current and potential certificants.
• Responsible for managing and executing the Title 24 accreditation program
• Provides support with the Certification Database delivery system – Certelligence.
o Maintaining and managing certification records
o Making updates and improvements to the database
o Providing support to individuals who need troubleshooting assistance
o Implement security measures to safeguard Certelligence
o Respond to database problems and escalations
o Provide trend analysis and reporting
• Other duties, responsibilities, and special projects as assigned by the EVP

Qualifications:
- Bachelor’s degree preferred
- Two years of direct experience in certification program management in an association environment (Certelligence or something similar)
- Experience with relational databases, such as MySQL, Oracle, and SQL Server
- Proficiency in Microsoft Office programs (i.e., Word, Excel, PowerPoint)
- Ability to maintain a high degree of confidentiality
- Positive team player attitude, remains calm and professional under pressure
- Ability to work collaboratively and independently, resolve conflict constructively
- Proven written/oral communication and interpersonal skills, excellent customer service attitude
- Ability to think, look ahead, and problem solve and meet deadlines
- Understand quality control and precision
- Ability to ask questions in order to enhance processes for greater efficiency
- Ability to follow appropriate protocols and guidelines

Type: Contract to Hire, Full-time hours, on-site. Some travel and training are required.
