Job Title: Office Support Specialist

Position Summary:

The Office Support Specialist provides high-level administrative, clerical, and operational support. This role is responsible for managing office workflows, coordinating communications, maintaining records, and assisting with departmental projects. The ideal candidate will be highly organized, detail-oriented, and skilled in multitasking while maintaining professionalism and confidentiality.

Key Responsibilities:

Administrative Support:

  • Maintain and organize departmental records, files, and logs in compliance with privacy regulations.
  • Draft, format, and distribute correspondence, reports, meeting agendas, and minutes.
  • Manage calendars, schedule meetings, and coordinate events for department leadership.

Clerical Operations:

  • Answer, screen, and route phone calls; greet and assist visitors.
  • Process incoming and outgoing mail, including packages and interoffice communications.
  • Operate and maintain office equipment (copiers, scanners, fax machines).
  • Update and maintain databases, spreadsheets, and filing systems.

Communication & Coordination:

  • Serve as a liaison between the department and internal/external stakeholders.
  • Assist in coordinating special projects and departmental initiatives.
  • Prepare and distribute informational materials for staff and public notices.
  • Respond to email inquiries and track pending requests.

Data & Document Management:

  • Compile and organize data for reports, surveys, and compliance tracking.
  • Maintain accurate records for attendance, meetings, and other key documentation.
  • Perform data entry into HR, timekeeping, or other designated systems.

Qualifications:

  • Experience: Previous administrative or office support experience preferred.
  • Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Soft Skills: Strong communication, time management, and problem-solving abilities.
  • Organizational Skills: Ability to prioritize tasks in a fast-paced environment.
  • Confidentiality: Discretion in handling sensitive information.

Preferred: Familiarity with databases, document management systems, or timekeeping software.
