Duration: Temporary (Maternity Leave Coverage - approximately 6 months)
Pay Rate: $32-40/hour DOE
Schedule: Full-time on-site, Monday-Friday 7:30am-4:30pm (or 8am-5pm)
About the Role:Our client, an established electrical contracting company in Elmsford, NY, is seeking an experienced Construction Payroll & Job Cost Coordinator to provide maternity leave coverage. This critical role supports our growing team of 70+ union electricians and expanding project portfolio.
Primary Responsibilities:Payroll Processing (Union):
- Process weekly payroll for 70+ union employees using Zooma TPA system
- Enter accurate time and attendance data for all union personnel
- Add new hires to the payroll system (anticipate 10 new employees weekly due to business growth)
- Update union wage rates for all employees and job titles during April rate adjustments per union contract requirements
- Process 3-5 manual paychecks weekly
- Process termination and layoff checks on an off-cycle basis as needed
Accounts Receivable:
- Enter accounts receivable transactions into Timberline/Sage 300 Construction and Real Estate
- Deposit and record customer checks
- Maintain accurate AR records
Job Costing & Construction Accounting:
- Download payroll and labor cost data from Zooma as CSV/Excel files
- Review, adjust, and prepare labor cost data for upload to Timberline/Sage 300
- Upload formatted payroll data to Sage for accurate job costing
- Create and set up new construction jobs in Timberline/Sage 300
- Attach project documentation (estimates, contracts, change orders) to job records
- Update and maintain job logs in Sage/Timberline 2-3 times daily
Required Qualifications:
- Minimum 2-3 years of payroll processing experience, preferably with union payroll
- Strong experience with construction accounting software, specifically Sage 300 Construction & Real Estate (Timberline)
- Proficiency with third-party payroll administrators (TPA systems); experience with Zooma is a plus
- Solid understanding of construction job costing principles and practices
- Advanced Excel skills including data manipulation, CSV file formatting
- Experience with accounts receivable entry and bank deposits
- Strong attention to detail and accuracy, particularly with data entry
- Ability to process payroll and manual checks efficiently and accurately
- Understanding of union wage structures and compliance requirements
Preferred Qualifications:
- Previous experience in electrical contracting or construction industry
- Knowledge of prevailing wage and certified payroll requirements
- Experience with manual check preparation and off-cycle payroll processing
- Familiarity with construction project documentation and change order management
- Experience in a fast-paced, growing construction environment
Technical Skills:
- Required: Sage 300 Construction & Real Estate (formerly Timberline) or similar ERP program
- Required: Microsoft Excel (advanced)
- Required: Payroll processing systems (TPA experience ADP/Paychecks/Benefit Mall/Zooma)
- Strong computer skills and ability to learn new software quickly
