Hours/Days: 8 Hours Per Day, 202 Work Days; Beginning August 4,2025
Pay Rate: $14.46 per hour
Reports To: Building Administration
Job Summary:
The Building Secretary serves as the welcoming face and steady support of the school office. This secretary in this role is creating a positive and responsive environment for students, staff, families, and visitors. The secretary plays a vital role in fostering a culture of trust, respect, and care within the school community.
The Elementary School Building Secretary is responsible for providing administrative support to the school principal, staff, students, and parents. This position ensures the smooth and efficient operation of the school office and assists in maintaining a welcoming and organized environment.
Building administration determines the building secretary start and end dates each school year, a tentative schedule is provided. On days when school has been cancelled, secretaries do not report to work. These days will be made up and could affect the tentative end date.
Key Responsibilities:

Provide secretarial services to the building Administration

Greet and assist students, parents, staff, and visitors in a courteous and professional

Answer phones, take messages, and direct calls appropriately and professionally.

Maintain student records in accordance with district and state regulations. This pertains to enrollment, attendance and other confidential student information in the records.

Prepare, maintain, and distribute school correspondence as assigned by administration.

Maintain calendars, schedule meetings, and assist with organizing school This includes various elementary school functions that may be during or after the school day.

Additional time worked for building functions including parent/teacher conference

Manage office supplies and place orders as

Handle mail distribution, filing, photocopying, and other clerical

Support health and safety protocols, including medication documentation and basic first aid when the nurse is unavailable as assigned by administration.

Work closely with the principal and teachers to support school

Maintain confidentiality and comply with FERPA and other applicable privacy

Other duties as assigned.
Qualifications:
- High school diploma or equivalent; post-secondary education or secretarial training preferred
- Prior administrative or school office experience strongly
- Skilled in using various software applications with the ability to learn new software programs and be able to navigate and utilize digital tools
- Strong organizational and time management skills required
- Excellent written and verbal communication abilities
- Ability to handle sensitive information with discretion
- Friendly, patient, confidential and professional demeanor
- Promptness and low absenteeism is essential to this position
Working Conditions:
- Full-time, working before school starts to prep for the new school year, during school year and after the school year end to complete year end tasks required.
- Fast-paced office environment; frequent interruptions.
- Occasional lifting (invoice supplies, student records).
- May be required to assist in other areas of the building as needed.
