POSITION PURPOSE
This mission centered position is responsible for leading the recovery services team and managing the 24/7 daily operations and functions of the Saving Sight Recovery Department, including the headquarters and satellite recovery facilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Leadership
· Work with Human Resources staff to recruit, interview, select and our core values and maintain staffing to ensure coverage of all aspects of recovery operations
· Develop and maintain staff schedule, approve time sheets and PTO as appropriate · Coach, mentor and develop staff, including overseeing new employee onboarding and providing career development planning and opportunities
· Foster a spirit of teamwork and unity among department members that allows for disagreement over ideas and the appreciation of diversity as well as cohesiveness, supportiveness and working effectively together to enable each employee and the department to succeed · Consciously create a workplace culture that is consistent with Saving Sight's overall culture and that emphasizes the identified mission, vision and values of the organization
· Create and maintain a collaborative and supportive working environment for the entire recovery department, including regular visits to all satellite facilities in the service region
· Maintain transparent communication. Appropriately communicate organization information through department meetings, one-on-one meetings, email and regular interpersonal communication · Provide effective performance feedback through the performance management process, employee recognition, rewards and disciplinary action, with the assistance of Human Resources, when necessary
· Build and maintain cohesive relationships with Organ Procurement Organizations (OPOs) and other external stakeholders and serve as the subject matter expert for recovery operations.
· Maintain departmental proficiency by monitoring workload of functional areas, proactively make operational adjustments as required
· Oversight of the Recovery Supervisors/Managers and Recovery Team
· Key contributor of the Saving Sight Operations Team
Operations
· Complete all aspects of the recovery technician training program, including the ability to perform a cornea and whole eye procurement. Maintain annual competency by Medical Director as a designee for staff training · Maintain compliance with Saving Sight Standard Operating Procedures, EBAA Standards, and applicable FDA and OSHA regulations
· Evaluate and maintain adequate supplies necessary for executing all recovery operations for surgical and non-surgical ocular tissue recoveries in compliance with Saving Sight SOPs and regulatory standards
· Develop and maintain an effective Technical Training Program, including compliance with the organization learning management system
· Maintain quality results through continued training of competencies and performance assessments; ensure appropriate documentation
· Work closely with the Quality Assurance department by creating/revising Standard Operating Procedures and training materials.
· Implement new programs, methods, and procedures by investigating alternatives to current operations, and preparing proposals for new operations
· Identify potential improvements in technical process and propose alternate methods for review and approval
· Maintain complete and accurate records for all technical facility functions
· Familiarity with all operational aspects of eye banking from referral through distribution, including current trends and techniques of corneal transplantation
· Work closely with the Donor Services Department to ensure collaboration and timely response times by the Recovery Team.
· Work closely with Client Services department to assist in coordination of tissue distribution
· Collaborate with Partnership Support and Development staff to facilitate communication
· Ability to generate and analyze metrics to monitor all aspects of Recovery Operations performance
· Report regularly on defined key performance indicators · Available 24/7 as needed to respond to immediate needs and support staff as Administrator on Call (AOC)
· May also encompass additional duties as assigned
Budget
· Assist in developing the Recovery Services department budget and responsible for maintaining operations within the budget
· Investigate opportunities to decrease expenditures while maintaining quality and effective operations
Quality
· Review and execute protocols applicable to operations within the department
· Work closely with team members to provide effective solutions to support quality objectives
· Identify areas of opportunity for improved quality outcomes, products and services by partnering with the Quality Assurance department
EDUCATION
· Bachelor's Degree, or equivalent combination of education and experience from which comparable knowledge, skills, and abilities can be acquired is required
· Continual training and certification is necessary
QUALIFICATIONS and EXPERIENCE
· A minimum of two (2) years' experience in the eye banking, medical, funeral home, and/or surgical field
· Management and supervisory experience including recruitment, hiring and performance evaluation required. Two (2) years preferred
· Ability to think strategically and plan work around attaining goals and objectives
· Strong organizational skills, problem-solving abilities, and attention to detail
· Strong interpersonal, written, and verbal communication skills required
· Strong leadership skills, ability to direct and supervise remote employees
· Ability to work independently, with limited direction, and in a team environment
· Ability to work with distraction, prioritize, and multi-task
· Working knowledge of Microsoft operating systems, Microsoft Office, general database, and web-based applications
· Must have a valid driver's license and acceptable driving record as determined by Saving Sight
· Must have reliable transportation
PHYSICAL REQUIREMENTS:
· Ability to travel throughout the Saving Sight service region on a regular basis and as required, including overnights as needed
· Availability to work holidays, nights, and weekends as required and respond to department needs on a 24-hour basis
· Frequent periods of intense concentration, attention to detail and accuracy
· Ability to handle mental and physical strain involved in use of printed materials and prolonged use of computer screens
· Ability to perform delicate manual procedures requiring high amounts of dexterity
· Driving for extended periods or long distances may be required
· Long periods of sitting and/or standing may be required
· Ability to lift and move more than 50 pounds
· Required to have the yearly influenza vaccination
ENVIRONMENTAL DEMANDS
· Ability and knowledge to work in various work environments, for example; normal office environment, normal outdoor exposures, hospital settings (floor, operating room, morgue), funeral home, and medical examiner settings
