What you will be responsible for:
Youll play a vital role in managing our accounts payable process, contract administration, and project financial workflows. Youll work cross-functionally with Site Ops, Procurement, Finance, and Legal to ensure smooth and accurate payments, financial tracking, and compliance.
What Youll Do:
Accounts Payable
- Review and code project and non-project vendor invoices. Reconcile against contracts, POs, and prior payments.
- Route subcontractor billing for approval and payment; compare to Work Orders, SOVs, Forecasts, and change orders.
- Manage invoice entry and payment via Airbase, including ACH and virtual card (VCC) processes.
- Set up and maintain utility accounts for each project and manage monthly invoicing.
- Track and ensure vendor insurance compliance before payment.
Contract & Change Order Management
- Draft and route consultant agreements, work orders, and change orders via DocuSign.
- Maintain organized records for all project and consultant documents.
- Coordinate closely with Procurement and Site Ops to update Forecasts and Buy Out Logs.
- Review and approve subcontractor change requests; collaborate with Legal as needed.
Vendor and Insurance Administration
- Set up new vendors in Airbase and manage onboarding.
- Request and track certificates of insurance from subcontractors and consultants.
- Manage builders risk and property insurance throughout the asset lifecycle (acquisition, construction, sale).
- File and follow up on insurance claims as needed.
Compliance and Financial Support
- File and manage preliminary notices, conditional and unconditional lien releases.
- Support monthly Forecast-to-Actual reconciliations across projects.
- Maintain records of business licenses and property taxes.
What Youll Bring:
- 3+ years of experience in accounts payable, project accounting, or contract administration (construction experience preferred).
- Direct experience using Netsuite
- Strong Excel skills and familiarity with accounting tools (Airbase experience a plus).
- Detail-oriented and highly organized, with great follow-through.
- Strong communicator who thrives in a collaborative environment.
- Comfortable working in a startup or fast-paced setting with evolving processes.
