Position Overview
The Administrative Assistant’s (AA) primary role is to provide exceptional service to First Command clients and support local advisors in their day to day operations. This role is a professional role, responsible for client interaction (phone and in person), document preparation and processing, data entry and maintenance, and other essential office duties as required by the advisors. This role will require a candidate who has shown consistent ability to learn quickly, work independently, and proactively solve problems.
Responsibilities

Provide exceptional service to all First Command clients by phone, electronically, and in person

Schedule and confirm client appointments

Maintain files and records in the First Command client database, maintaining and monitoring assigned tasks on a daily basis

Prepare and send paperwork to prospects/clients prior to (both manually and electronically) and after appointments

Accurately complete insurance, investment, and banking applications, paperwork, and other documentation

Become proficient in all necessary computer applications, including the First Command client database and business partner electronic tools

Handle incoming/outgoing client correspondence (i.e., phone, email, mail, shipping) for the office

Assist in problem resolution and act as the advisor liaison with First Command business partners and Home Office resources

Communicate with advisors and business partners on pending business, production, and other issues

Maintain commission, sales, production, and conservation records for two advisors

Prepare client birthday, anniversary, holiday, and other cards as needed for the advisors

Assist with office events and activities when needed

Present a professional appearance and demeanor while assisting the clients via the phone or in person
- Be a team player and be willing to take on additional or different tasks as the office need demands or as requested by the advisors
Minimum Requirements

Ability to learn quickly, work independently, and proactively solve problems

Ability to handle multiple tasks and willingness to do what needs to be done to serve our clients

Excellent organizational, interpersonal, and written & verbal communication skills

Proficient in MS Office products specifically Word and Excel, Outlook experience is a plus

Self-motivated and strong desire to learn and grow with the office

High school diploma or equivalent

Expected hours: Office hours are 9am-5:30pm, with 30 minutes off for lunch
