Position Summary
Sparks Group has partnered with a professional association and together we are recruiting for a meetings Registration Specialist. The Registration Specialist is responsible for the planning, administration, and execution of registration operations for meetings and events ranging from smaller conferences to large-scale meetings hosting 10,000–15,000 attendees. This role independently manages registration platforms, builds and configures registration sites, maintains data integrity, supports customer service functions, and serves as the functional lead for onsite registration operations. The Registration Specialist works closely with internal teams and vendors to deliver accurate, efficient, and customer-focused registration experiences across a high volume of events annually.
Key Responsibilities
1. Registration Strategy & Platform Administration
- Build, configure, test, and launch registration sites using CVENT for approximately 30 smaller meetings annually
- Support two large-scale annual meetings (10,000–15,000 attendees) using Maritz (formerly CDS) or comparable large-event registration systems
- Set up registration flows, categories, pricing rules, discounts, and confirmations
- Identify opportunities for process improvements while working within established systems and standards
2. Cross-Functional Registration Planning
- Establish and manage registration timelines, milestones, and workflows
- Partner with internal stakeholders and registration vendors to ensure readiness, alignment, and consistency across meetings
- Coordinate requirements and deliverables to support smooth registration execution across all events
3. Data Integrity, Systems Integration & Reporting
- Ensure the accuracy and integration of registration data across related systems (e.g., housing, membership, finance)
- Troubleshoot data issues and system discrepancies in collaboration with vendors and internal teams
- Generate, maintain, and distribute routine and ad hoc registration reports to support operational decisions and post-event analysis
4. Customer Experience & Daily Registration Operations
- Manage the registration inbox and provide timely, professional customer service support
- Process refunds and registration changes in accordance with policies and timelines
- Define and uphold service standards to ensure a positive experience for both attendees and internal partners
5. Onsite Registration Operations
- Serve as the functional lead for onsite registration execution
- Support staffing coordination, training, materials, and onsite workflows
- Ensure an efficient, accurate, and service-oriented registration experience during live events
6. Vendor & Resource Management
- Serve as the primary liaison with registration vendors
- Coordinate system deliverables, staffing needs, materials, and onsite resources related to registration
- Monitor vendor performance to ensure compliance with timelines and service expectations
Qualifications
- Hands-on experience with CVENT, Maritz (formerly CDS), or similar large-scale registration platforms (e.g., CompuSystems)
- Background supporting registration for high-volume or complex meetings
- Experience in an association environment is a plus; candidates from corporate or other industries are encouraged if they have strong registration system experience

This job is Hybrid Remote.
Pay Range: Hourly $23.33 to $25.33
