We are currently seeking a motivated and detail-oriented Human Resources Coordinator to join our Tampa-based team.



Position Summary

The Human Resources Coordinator plays a key role in supporting the daily operations of the Human Resources department and providing executive administrative and office support. This hybrid position will be based at our Tampa, FL office for two days per week (Tuesdays and Thursdays, although this may fluctuate depending on business needs). The successful candidate will be responsible for coordinating HR processes, ensuring compliance, managing documentation, providing executive and office administrative support, and supporting a positive, engaging work environment.

Breakdown of Responsibilities:
- 70% Human Resources Coordination
- 30% Executive and Office Assistant Support

Key Responsibilities

Human Resources (70%)

  • Process and track documentation related to FMLA, ADA accommodations, Workers Compensation, and Unemployment Claims
  • Maintain and update HRIS and personnel files with accuracy and confidentiality (including BambooHR and Paycor systems)
  • Assist with coordinating onboarding and offboarding including orientation, background checks, I-9 compliance, and exit interviews
  • Respond to employee inquiries and monitor the HR inbox
  • Track training, performance evaluations, and employee documentation
  • Support employee engagement initiatives and internal communication efforts
  • Generate HR reports and assist with audits and data integrity
  • Coordinate performance management processes and reviews, generate completion reports, and support managers and employees throughout the cycle
  • Support payroll processing in coordination with the Finance department
  • Interpret and communicate HR policies and procedures to U.S.-based employees with professionalism and discretion
  • Assist compliance and HR leadership with tracking attestations, reporting requirements, and data privacy adherence
  • Initiate and consolidate results from annual employee engagement surveys
  • Schedule and coordinate company-wide updates, including monthly internal meetings and quarterly global town halls, partnering with leadership on agendas and presentations



Executive and Office Assistant Support (30%)

  • Provide executive support to the Executive Leadership Team (ELT) including calendar management, travel arrangements, and meeting coordination as needed
  • Prepare agendas, presentations, reports, and meeting minutes
  • Assist with confidential correspondence and project coordination
  • Support daily office operations, including ordering supplies and maintaining
    common areas
  • Assist with scheduling, mail handling, and liaising with facility vendors as needed
  • Act as a point of contact for onsite visitors and general inquiries
  • Coordinate office maintenance, repairs, and vendor services
  • Arrange catering, beverages, and logistics for client visits and internal events



Qualifications

  • Required:
  • 23 years of experience in an HR Coordinator or combined HR/Office Administrator role
  • Hands-on experience with FMLA, ADA, Workers Compensation, and Unemployment documentation
  • Knowledge of HR principles and relevant employment laws at the federal, state, and local levels
  • Strong organizational and multitasking skills with acute attention to detail
  • Proficiency with Microsoft Office Suite and HRIS/Payroll platforms p
  • Excellent written, verbal, and interpersonal communication skills
  • High level of professionalism, discretion and integrity when handling sensitive information
  • Ability to work both independently and collaboratively in a hybrid setting
  • Preferred:
  • Associates or bachelor's degree in human resources, Business Administration, or a related field
  • Experience working in a private equity-owned company
  • Familiarity with HRIS/payroll processing systems and compliance documentation
  • Prior experience supporting a senior executive team



Work Schedule & Location

  • Hybrid schedule: Minimum 2 days per week onsite (Tuesdays and Thursdays) at our Tampa, FL office.
    Must be a local candidate able to commute regularly to the Tampa office
