Position Summary
The Church Office Assistant provides vital administrative and operational support to the
Holy Trinity Greek Orthodox Church, assisting the Parish Priest, Parish Council, and
ministry teams in fulfilling the administrative and communication needs of the parish. This
part-time role (10–15 hours per week) allows for a flexible schedule, including the
possibility of remote work, with occasional in-person presence required for deliveries,
vendor coordination, or church events. This position is ideal for an organized, reliable, and
discreet individual with prior administrative experience seeking part-time employment.
Primary Responsibilities
Administrative Support
• Maintain an organized and efficient office environment, including oversight of
supplies and equipment.
• Draft, edit, and distribute correspondence, reports, bulletins, newsletters, and
other parish materials.
• Manage calendars for clergy and church leadership; coordinate scheduling of
meetings, appointments, and events.
• Maintain accurate records for parish membership, sacraments (baptisms,
weddings, funerals), and other official documents.
• Respond to phone, email, and mail communications; direct inquiries to appropriate
individuals.
• Open and distribute mail; conduct regular post office runs.
• Make routine bank deposits on behalf of the church.
• Take and process customer orders for parish events and bake sales.
Communications & Coordination
• Prepare weekly bulletins, event announcements, and digital newsletters.
• Serve as a welcoming point of contact for parishioners and visitors.
• Support the planning and coordination of church events such as weddings,
funerals, and community programs.
• Assist in updating the church website and social media accounts.
Financial Administration
• Accurately post activity to accounting software and maintain financial records.
• Process and document donations and contributions.
• Manage inventory of office supplies and church-related materials.
• Download and record PayPal activity reports; reconcile income records with bank
deposits.
• Write checks, retain supporting documentation (invoices, receipts), and track credit
card expenditures.
• Assist with financial reconciliations between the church management software
(Realm), collection reports, and bank statements.
Support for Church Leadership
• Provide administrative support to the clergy and ministry leaders, including
scheduling and event coordination.
• Assist ministry groups (e.g., Philoptochos, Parish Nurse) with mailings and
communications.
• Help coordinate volunteer participation for parish activities and events.
Qualifications
Education & Experience
• High school diploma or equivalent required.
• Prior administrative or office experience preferred, especially in a church or
nonprofit setting.
Skills & Competencies
• Excellent organizational and time management skills.
• Strong written and verbal communication abilities.
• Demonstrated discretion, confidentiality, and ethical conduct.
• Competence in Microsoft Office, Google Workspace, and/or church management
software (Realm preferred, but not required).
• Ability to work independently and manage multiple tasks simultaneously.
• Personable and approachable demeanor with strong interpersonal skills.
• Willingness to learn new systems or processes.
Working Conditions
• Part-time schedule (approximately 10–15 hours per week); flexibility available with
approval of the Parish Priest and Council President.
• Occasional evening or weekend hours may be required for church-related events.
• Must be accessible for urgent parish needs as required.
Physical Requirements
• Ability to sit or stand for prolonged periods.
• Occasionally lift supplies or equipment (up to 25 lbs).
• Must be able to navigate stairs when needed.
Compensation & Benefits
• Hourly Rate: Commensurate with experience; to be determined.
