Job Brief

We are seeking a dependable individual to fulfill the role of a Personal Assistant, offering personalized secretarial and administrative assistance in an efficient and timely manner. The successful candidate will work closely with a manager, undertaking diverse tasks associated with their professional life and communication, maintaining an organized workflow.

Responsibilities

• Serve as the primary liaison between the manager and both internal and external clients
• Screen and redirect phone calls and distribute various forms of correspondence
• Handle requests and inquiries in a suitable manner
• Organize and manage the manager's calendar, scheduling meetings and appointments
• Arrange travel plans and accommodations
• Take dictation and minutes during meetings
• Procure office supplies from appropriate sources
• Create reports, presentations, and briefs
• Develop and maintain an efficient filing system for office documents
• Must possess critical thinking skills, be an exceptional problem solver, and a have a natural flair for creativity
• May require business travel nationally and or internationally 6-12 times a year
• Responsible for overseeing advertising, media outlets, and other promotional aspects of the company
• Schedules appointments, acquires new accounts, and conducts presentations for new clients.
• Generates reports, handles multiple projects, and prepares and monitors invoices and expense reports.
• Must be capable of lifting 60 lbs. regularly without complications or causing pain to oneself

Requirements and Skills

• Demonstrated professional experience as a Personal Assistant
• Familiarity with office management systems and protocols
• Proficiency in MS Office and fluency in English
• Exceptional organizational and time management abilities
• Knowledgeable about the latest office gadgets and applications
• Capable of multitasking and effectively prioritizing daily tasks
• Excellent verbal and written communication skills
• Discretion and the ability to maintain confidentiality
• High School degree as a minimum educational qualification
• Possession of a PA diploma or certification would be considered beneficial
