The Administrative Assistant provides essential support to the Independent Living residents living within the Northgate building and surrounding Independent Living areas in addition to supporting the Director of Independent Living, ensuring excellent service to residents, visitors, and team members. This role is responsible for a variety of administrative and clerical duties that contribute to the effectiveness of the Independent Living area while upholding professionalism, confidentiality, and a customer service-oriented approach.

ESSENTIAL FUNCTIONS OF POSITION

  1. Provide a warm and welcoming reception, greeting and directing residents, team members, vendors, and visitors professionally.
  2. Serve as a first point of contact for general inquiries, maintaining a foundational knowledge of policies, procedures, and department operations.
  3. Answer calls and directs people to locations and resources of the facility.
  4. Develop and maintain a good understanding of the NG building and Independent Living population.
  5. Responsible for petty cash reconciliation as needed and preparation of daily deposits from guest room reservations, stamp purchased etc.
  6. Attain and maintain notary certification, provide notary services as requested for residents and team members.
  7. Sort, distribute, and manage incoming and outgoing mail for the Northgate building.
  8. Perform general administration tasks, including typing, proofreading, document preparation, data entry, and maintaining electronic files.
  9. Maintain a good knowledge of the EHR system and Full Count.
  10. Support Independent Living projects and assist with various initiatives as needed.

Qualifications:

  • High School Diploma or GED
  • 1+ years of reception, administrative assistance or similar work preferred.
  • Previous experience working with the senior population preferred.
  • The ability to operate office equipment such as computers and fax/copier machine required.
  • Knowledge of Microsoft Word
  • Knowledge of Microsoft Office Suite preferred.
  • Must present and relate favorably to the public and senior living population.
  • Capable of carrying out a given task with all the details necessary to complete the task on time.
  • Attain and maintain notary certification.

Shift:

  • Full-time, Monday – Friday, 8a-430p
  • No Holidays
