Position Summary
We are seeking an experienced, highly organized, and service-oriented Mortgage Loan Officer Assistant to serve as the primary operational support to a high-producing Loan Officer. This individual will play a vital role in managing the loan pipeline, coordinating borrower and referral partner communications, overseeing loan files from application through funding, and supporting the daily activities of the Loan Officer's support team.
The ideal candidate is proactive, detail-oriented, and committed to delivering an exceptional client experience. This role requires strong mortgage industry knowledge, outstanding organizational skills, and the ability to manage multiple transactions while ensuring every loan progresses efficiently through the mortgage process.
Essential Duties & Responsibilities
Loan Officer Support
- Serve as the primary operational support to the Loan Officer.
- Manage and oversee the Loan Officer's pipeline from application through funding.
- Coordinate daily priorities and workflow to ensure timely progression of all loan files.
- Provide regular updates regarding pipeline status, loan conditions, closing timelines, and potential issues.
- Support production goals by maintaining efficient, organized, and proactive operations.
Team Coordination & Support
- Coordinate the daily activities of the Loan Officer's support team, including processors, administrative support staff, and other team members.
- Monitor workflow and assist in prioritizing tasks to ensure deadlines are met.
- Provide support, guidance, and communication to help maintain an efficient team environment.
- Serve as a central point of communication between the Loan Officer and support team.
Pipeline & File Management
- Monitor all active loan files to ensure timely progression through processing, underwriting, closing, and funding.
- Review loan files for completeness, accuracy, and readiness at each stage of the mortgage process.
- Track outstanding conditions, documentation requirements, and critical deadlines.
- Proactively identify and help resolve issues that may impact closing timelines.
- Maintain accurate and up-to-date records within the Loan Origination System (LOS).
Client & Referral Partner Communication
- Serve as a primary point of contact for borrowers throughout the loan process.
- Provide timely updates regarding loan status, required documentation, and next steps.
- Deliver exceptional customer service while building strong borrower relationships.
- Coordinate communications with Realtors, escrow officers, title companies, insurance agents, and other transaction partners.
- Ensure all parties remain informed and aligned throughout the transaction.
Operations & Compliance
- Ensure adherence to company policies, lending guidelines, and regulatory requirements.
- Maintain confidentiality and security of sensitive client and company information.
- Assist with quality control reviews and operational improvement initiatives.
- Support processes that enhance efficiency, productivity, and client satisfaction.
Qualifications
Required
- Minimum 2–5 years of experience in mortgage lending, mortgage operations, loan processing, or loan officer support.
- Strong knowledge of residential mortgage lending, loan documentation, and mortgage workflows.
- Experience managing multiple loan files and deadlines simultaneously.
- Exceptional organizational, time management, and problem-solving skills.
- Excellent verbal and written communication abilities.
- Proficiency with Microsoft Office Suite and mortgage loan origination systems (LOS).
Preferred
- Previous experience supporting a high-producing Loan Officer.
- Knowledge of Conventional, FHA, VA, USDA, and Jumbo loan programs.
- Experience with mortgage compliance and quality control procedures.
- Experience working with Realtors, escrow officers, and title companies.

Compensation
Pay Range: $50,000–$75,000 annually (DOE)
In addition to base compensation, this position may be eligible for performance-based bonuses tied to production goals, operational efficiency, client satisfaction, and overall team performance.
