Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive team. The ideal candidate will possess exceptional administrative skills and be adept at managing multiple tasks in a fast-paced environment. This role requires a detail-oriented individual who can maintain professionalism and confidentiality while ensuring the smooth operation of the office.
Responsibilities
- Provide executive administrative support, including managing calendars, scheduling appointments, and coordinating meetings.
- Handle event planning and logistics for corporate events, ensuring all details are executed flawlessly.
- Assist with project coordination by tracking progress, deadlines, and deliverables.
- Manage office operations, including filing, data entry, and clerical tasks to maintain an organized workspace.
- Utilize QuickBooks for basic bookkeeping tasks and financial record management.
- Demonstrate excellent phone etiquette while managing multi-line phone systems and responding to inquiries promptly.
- Prepare documents through proofreading, transcription, and formatting to ensure accuracy and professionalism.
- Maintain proficiency in Microsoft Office Suite, Google Workspace, and DocuSign for various administrative functions.
- Provide customer service support by addressing client needs and inquiries effectively.
Skills
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with calendar management using Microsoft Outlook Calendar or similar tools.
- Excellent typing skills with attention to detail for accurate data entry and documentation.
- Familiarity with bookkeeping principles and experience using QuickBooks is preferred.
- Previous experience in administrative roles or as a personal assistant is highly desirable.
- Ability to work independently as well as collaboratively within a team environment.
- Strong communication skills both written and verbal, with an emphasis on professionalism.
- Knowledge of clerical procedures including filing systems and office management practices.
Job Type: Full-time
