Job Summary
Patient Care Coordinators handle the clinic's clerical responsibilities of patient care. They present themselves as professionals while carrying out these duties. A Patient Care Coordinator's image and presentation to patients are a reflection both on the doctors and on our Practice. Through teamwork, patient care coordinators keep the office flow moving in a smooth and efficient manner, while maintaining a positive, respectful, and caring attitude toward patients, doctors and co-workers.
Patient Care Coordinators should have excellent communication and organizational skills, be level-headed, dependable, courteous, compassionate, able to multitask, receptive to new ideas, ability to prioritize, self-motivator, good math and windows-based computer skills, problem solving abilities, and willing to take initiative.
Essential Functions/Responsibilities:
All shall be performed in accordance with OSHA, DEA, HIPAA, and NPOS guidelines and expectations.
- Promptly and energetically greet all incoming patients and visitors
- Answer phones promptly, with a smile, assist caller or take messages and relay to appropriate persons.
- Schedule appointments
- Review patient registration information for accuracy and thoroughness
- Copy insurance card and drivers' licenses, get signature on consent, financial, and HIPAA forms, and set up charts
- Input patient demographics into the computer
- Note any health conditions on patient's file and in system
- See that there is a current completed verification form for all patients
- Collect estimated payments and co-pays from all patients at time of appointment
- Prepare and update charts for established scheduled patients
- When appropriate, give patients information on Care Credit options
- Keep patients informed when schedule is running late
- Answer basic clinical questions for patients
- Along with surgical assistants, keep Doctors informed of any schedule changes
- Evaluate the Appointment Schedule daily for accuracy and efficiency; make schedule changes as necessary
- Confirm patient appointments prior to the appointment day
- Check and straighten reception area and bathroom at end of morning and afternoon
- Transfer to and request charts from other clinics, as necessary
- Daily empty and distribute items from incoming couriers and prepare outgoing couriers
- Evaluate charts for following day's patients
- Promptly file charts and paperwork
- Duplicate x-rays; return to referring doctor and/or give to business office if needed for insurance claims
- Send treatment letters and referral forms to referring doctors
- Daily turn on/off equipment
- Be able to operate all front office equipment
- Travel to other offices, as needed
- Inventory office supplies and reorder through the Patient Care Coordinator Manager
- Keep work areas clean and neat
- Know and be able to implement emergency management protocols
- Inform Patient Care Coordinator Manager of any staff or patient issues, concerns, or conflicts
- Be proficient in the use of the Practice Management software system
- Have a working knowledge of dental/medical terminology
- Have a working knowledge of insurance participation and verification,
- Be accurate in all computer input
- Be willing to help with any additional tasks as designated by the managers or Doctors
- When clerical responsibilities are complete, assist co-worker
