We are actively searching for a Records Technician to join our dynamic team in San Diego, CA.
Position Summary: This position is responsible for the timely and accurate filing and retrieval of various documents typically in electronic format. As well as, general services, hospitality, and records related activities within the office.
Responsibilities:
- Maintain both physical and electronic documents in the records management system.
- Oversee the relocation of physical files to and from offsite storage.
- Maintain file inventories and manage barcoding and tracking systems.
- Promptly and accurately file physical documents and other matter materials.
- Respond to requests for information, relocating files, and other special requests.
- Upload, profile, and file electronic documents into the document management system.
- Create, edit, and delete electronic folders and classification system.
- Rename electronic documents into a set naming convention.
- Fulfill hospitality requests (conference room and kitchen set up).
- Handle receptionist duties and light office tasks.
- Manage office supply inventory.
- Coordinate duplicating projects, including off-site coordination as needed.
- Maintain copiers and printing supplies, coordinating with technicians for repairs.
- Manage all incoming and outgoing mail and courier packages.
- Perform special projects, tasks, and other duties as assigned.
Position Requirements:
- Attention to detail, time management and critical thinking skills.
- Strong computer background.
- Sensitivity toward confidential information.
- Experience with legal documents and matter files.
- Strong customer service and organization skills.
- Ability to effectively work within a team to achieve goals and results.
- Strong adherence to policies and procedures.
Education and Experience:
- High school graduate or equivalent certification required.
- Experience using an enterprise-wide document management system preferred.
- Previous file, records experience or related office experience preferred.
- Previous legal training preferred but will train motivated individuals.
- Strong technical skills.
Working Conditions:
- Professional working environment.
- Heavy computer use.
- Frequent interruptions.
- Ability to lift 30 lbs. and work overhead (files and boxes)
