Job Summary: The Housing and Registration Associate is responsible for managing housing and registration process for meetings and conventions. This role involves coordinating with hotels, venues, and attendees to ensure smooth and efficient operations. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to provide exceptional customer service.

Key Responsibilities:

· Manage the overall housing and registration process for conventions and conferences.

· Coordinate housing arrangements for attendees, including room blocks, reservations, and special requests.

· Manage registration processes, including online registration systems, and attendee lists.

· Communicate with hotels and venues to ensure accurate and timely information regarding room availability and event logistics.

· Provide support to attendees with housing and registration inquiries, resolving issues promptly and professionally.

· Maintain accurate records of housing and registration data, generating reports as needed.

· Assist in the development and implementation of housing and registration policies and procedures.

· Collaborate with the Meetings and Conventions team to ensure seamless event execution.

· Monitor and report on housing and registration trends, providing insights for future events.

· Maintain accurate records of housing and registration data, generating reports as needed.

· Lead the build, testing, launch and administration of event registration and housing websites and mobile apps; utilizing our

licensed software (Passkey/Cvent).

· Oversee onsite registration process and support staff.

· Coordinate with department to develop Registration forms, name badges, etc.

· Ensure all meeting supplies are on hand and shipped to meeting location.




Administrative Responsibilities:

· Maintain ongoing list of active Jobs and Job Numbers.

· Assist in the planning and execution of event logistics, including scheduling, budgeting, and vendor coordination.

· Prepare and distribute event materials, such as agendas, invitations, and promotional items.

· Maintain and update client and event databases, ensuring all information is accurate and up to date.

· Support the Event and Production Managers with administrative tasks, billing, communications, and RFP Analysis.

· Assist in the creation, proofing, and assembly of service proposals and materials, maintaining and ensuring CSU's professionalism when presenting materials to our clients.

· Handle post-event follow-up, including surveys, thank-you notes, commissions, and reporting.

· Ensure compliance with company policies and procedures in all event-related activities.

· Create vendor purchase orders, schedule and process payments.

· Run Job Cost Reports regularly to ensure accuracy in budgeting and billing.

· Other duties as assigned.

Qualification Requirements:

• Minimum of associate's degree preferred

• 3+ Years' work experience in the meeting, event, hotel or hospitality industry

• Proficiency in CVENT software systems including Passkey, Events and Attendee Hub and Microsoft Office Suite

• Certifications such as CMP or CVENT are a plus

• Strong organizational and multitasking skills.

• Excellent communication and interpersonal skills.

• Ability to work independently and as part of a team.

• Detail-oriented with a commitment to accuracy.

• Customer service-oriented with a positive attitude.

• Ability to travel and work flexible hours, including evenings and weekends, as needed




Compensation details: 60000-85000 Yearly Salary
