The Shared Services Specialist is responsible for driving efficient and effective delivery of key HR shared services, primarily focusing on E-Verify, onboarding, and HRIS management. Accountable for ensuring compliance, driving continuous improvement, and optimizing processes to enhance the employee experience and support the broader HR strategy. This role specializes in HR Shared Services, fostering a high-performing, customer-centric environment.

May include:

• Execute and maintain standardized processes, policies, and procedures for all shared services functions, ensuring compliance with relevant legal and regulatory requirements for the Shared Services function, aligning with overall HR and organizational objectives

• Drive continuous improvement initiatives by identifying process inefficiencies, implementing automation where applicable, and leveraging technology to enhance service delivery and accuracy

• Generate and analyze HRIS reports and data to identify trends, provide insights, and support data-driven decision-making

• Serve as a point of escalation for complex employee inquiries and issues related to E-Verify, onboarding, and HRIS, ensuring timely and effective resolution

• Monitor key performance indicators (KPIs) to track the effectiveness and efficiency of shared services operations

• Ensure the integrity of our Onboarding process and compliance with all applicable federal, state, and local regulations

• Foster a collaborative and cohesive team environment, promoting open communication, problem-solving, and knowledge sharing

• Collaborate with other HR functions (e.g., Talent Acquisition, Benefits, HR Business Partners) to ensure seamless integration of shared services processes

• Conduct regular audits of shared services processes and data to ensure accuracy, compliance, and adherence to internal controls

• Stay abreast of changes in HR laws, regulations, and best practices, and implement necessary updates to policies and procedures

• Acts as a primary point of contact for I-9 related inquiries from employees and management

• Manage the reverification process for employees with expiring employment authorization

• Conduct regular internal audits of I-9 forms to proactively identify and correct errors, ensuring ongoing compliance

• Participate in additional activities/projects

Nature & Scope:

• Apply advanced knowledge of job area typically obtained through advanced education and work experience

• Manages projects and processes while working independently and with limited supervision

• Coaches and reviews the work of lower-level professionals

• Problems faced are difficult and sometimes complex; takes a new perspective on existing solutions

Knowledge & Skills:

• In-Depth knowledge of USCIS Form I-9 regulations, acceptable documents and employment eligibility verification processes

• Strong understanding of HR principles, practices, and legal regulations

• Extensive experience with E-Verify systems and procedures and proficiency in generating reports and analyzing data

• Excellent communication (written and verbal), interpersonal, and presentation skills

• Demonstrated ability to develop and implement efficient and effective processes and procedures

• Strong analytical and problem-solving skills, with keen attention to detail and accuracy

• Ability to manage multiple priorities and meet deadlines in a fast-paced environment

• Ability to handle sensitive and confidential employee information with discretion

• Excellent communication skills, with the ability to clearly explain complex regulations to diverse audiences

• Demonstrated ability to drive continuous improvement and implement change

Experience:

• 5 years of progressive experience preferably in a high-volume manufacturing environment

Education/Certification:

• College degree or equivalent work experience (3 to 4 yrs. within a human resources role of multiple functions)

People Management: No

Physical Requirements / Work Environment:

• Must be able to perform essential responsibilities with or without reasonable accommodations

• Must be flexible – work outside of standard office hours as needed

• Must wear required PPE in designated manufacturing areas
