MHA is seeking a skilled and motivated Administrative Specialist to provide essential support to our Supportive Housing Division. In this role, you will play a central part in keeping our programs running efficiently by handling a wide range of administrative tasks that directly impact the quality and delivery of services to individuals experiencing housing instability or chronic challenges. This position is ideal for someone who thrives on structure, pays strong attention to detail, and takes pride in ensuring smooth internal operations behind the scenes.
The Administrative Specialist works closely with program leadership and staff across multiple teams. From maintaining accurate records and managing compliance documents to coordinating meetings and supporting onboarding, your organizational skills and proactive mindset will be key to the division’s success. If you're an administrative professional with strong communication skills, the ability to prioritize tasks, and a desire to contribute to meaningful, community-based work—this is the role for you.
Schedule: Monday through Friday 9am-5pmKey Responsibilities
- Maintain accurate employee records and compliance documentation
- Create and update forms, reports, and tracking tools
- Organize and manage participant medical records (paper and electronic)
- Schedule meetings and coordinate with internal departments and external partners
- Take and distribute meeting minutes as needed
- Enter and manage data within the electronic health record and other systems
- Monitor and track participant consents and documentation deadlines
- Support onboarding and hiring workflows (e.g., scheduling, tracking open positions)
- Provide occasional front desk coverage and general clerical support
- Assist with training staff on administrative processes and procedures
- Communicate effectively across departments to support division goals
Requirements
- Strong administrative skills and attention to detail
- Experience in human services, healthcare, or related fields preferred
- Proficient in Microsoft Office (Word, Excel, Outlook, OneNote)
- Ability to learn and use systems such as EHANA, Complete Payroll, and RELIAS
- Strong communication, organization, and multitasking abilities
- Ability to work both independently and as part of a team
