Recruiting Operations Coordinator

Overview
At APA Services, the Recruiting Operations Coordinator is the critical nerve center of our staffing function—playing a role as vital to our operations as an air traffic controller is to aviation. This role ensures that warm leads are routed efficiently, candidate data is accurate and up to date, and the recruiting team has real-time access to actionable information. Your work will directly impact the speed, quality, and effectiveness of our recruiting operations.

This onsite role is ideal for a detail-driven, responsive individual with experience in candidate sourcing, data management, and process coordination within a recruiting or staffing environment.

Core Responsibilities

Primary Focus – Sense Broadcast Texts & Lead Routing

  • Monitor and respond to candidate replies from Sense daily broadcast texts (between 10am–3pm).

  • Qualify responses and capture key data points (job interest, location, experience).

  • Distribute warm leads to appropriate recruiters via TEAMS and our ATS (PCR)

  • Archive conversations and maintain accurate candidate records in PCR.

Lead & Data Management

  • Clean, verify, and update candidate data in PCR.

  • Categorize leads by urgency, quality, and relevance for follow-up.

  • Maintain organized lead lists tailored to each recruiter’s pipeline.

Lead Generation

  • Source new candidate leads from job boards and sourcing platforms.

  • Manage and distribute inbound leads from JS Firm and the APA Services website.

  • Input new leads and ensure complete data capture in PCR.

Communication & Coordination

  • Collaborate with recruiters and client managers to align on sourcing priorities.

  • Coordinate lead handoffs, ensuring smooth transitions and timely responses.

  • Act as a communication bridge, responding in real-time to recruiter needs.

Tracking & Reporting

  • Maintain internal sourcing metrics and pipeline health dashboards.

  • Track recruiter engagement with leads and ensure timely follow-up.

  • Provide visibility to leadership on sourcing efficiency and responsiveness.

Candidate Response Scenarios

Handle a range of incoming candidate responses, such as:

  • Interested Candidates: Collect details and transfer to the appropriate recruiter.

  • Not Interested / Wrong Trade: Update PCR and respond with professionalism.

  • Unqualified / Retired / Wrong Number / Opt-Out: Use standard replies, update records, and escalate when necessary.

  • Non-Touch Labor Aviation Roles: Share Constant Cash program details and initiate applicable follow-up workflows.

Skills & Qualifications

  • Strong attention to detail and commitment to data accuracy

  • Familiarity with sourcing tools, job boards, and applicant tracking systems (PCR preferred)

  • Excellent multitasking and organizational skills

  • Clear, professional written and verbal communication

  • A proactive, problem-solving mindset with ownership mentality

  • Tech-savvy and adaptable to new tools or systems

  • Ability to work independently and thrive in a fast-paced, onsite environment

Other Duties as Assigned

The Recruiting Operations Coordinator may be required to take on additional tasks or special projects to support the recruitment operations team and improve lead generation and processing efficiency.
