Position Overview:

We are seeking a Legal Assistant I to join our team in Albany, NY. Working closely with a Legal Assistant II, this role involves performing a variety of paraprofessional and administrative tasks to support the Trusts & Estates (T&E) Section. The ideal candidate will be detail-oriented, organized, and eager to learn.

Key Responsibilities:

  • Open and review incoming mail and email submissions; identify, sort, and distribute to assigned Assistant Attorneys General (AAGs).
  • Open new matters in NYMatters; create file folders and organize paper files in filing cabinets.
  • Generate and send registration letters; process and deposit checks received by the office.
  • Scan court notices, wills, trusts, pleadings, and accountings; upload to Word directories and NYMatters case management system.
  • Update matters in NYMatters, including adding notes and documents; archive files; request archived files; and create/process archive lists.
  • Review files, including informal accountings, for AAG approval.
  • Correspond via email and telephone with attorneys as requested by AAGs.
  • Respond to inquiries from attorneys and the public by phone and email.
  • Review, print, scan, email, and mail legal documents as requested.
  • Close files in NYMatters.
  • Calendar meetings and deadlines for the T&E Section.
  • Assist AAGs in litigation, including:
    • Preparing petitions and other court documents.
    • Compiling and responding to discovery.
    • Filing documents in court.
    • Preparing for trial.
  • Perform other duties as assigned by AAGs.

Qualifications:

  • Willingness to learn Surrogate Court forms and processes.
  • Ability to use basic math for reviewing trusts and estates accounting documents.
  • Proficiency in navigating multiple enterprise data management systems and the New York State Court Electronic Filing (NYSCEF) system.
  • Strong attention to detail and proofreading skills.
  • Ability to take direction and work collaboratively.
