PURPOSE
The Sales Administrator provides administrative, operational, and project support for the Sales Department. This position is responsible for maintaining sales systems, supporting revenue operations activities, contributing to marketing and documentation tasks, and assisting with prospecting and tradeshow coordination. The role ensures that sales processes run efficiently and that information is accurate, accessible, and properly documented.
ESSENTIAL JOB FUNCTIONS
- Serve as an administrator for the CRM application, ensuring accurate records, proper configuration, and data integrity across contacts, companies, deals, services, tasks, and reporting fields.
- Identify gaps and recommend improvements to enhance sales workflow efficiency.
- Assist with preparation of sales pipeline reports, dashboards, and operational metrics.
- Review document routing, tracking, and archiving to support operational compliance and visibility.
- Work with Sales Leadership to update pricing, terms, and templates as required.
- Take ownership of assigned sales and revenue operations projects, ensuring timelines, deliverables, and communication expectations are met.
- Maintain project documentation, track progress, and escalate issues when needed.
- Review sales and marketing collateral for accuracy, brand alignment, and up-to-date content,
- Coordinate updates to sales decks, one-pagers, brochures, and product materials in collaboration with marketing partners.
- Maintain an organized library of current sales materials and ensure accessibility for the sales team.
- Develop, maintain, and administer internal procedures, workflow guides, and process documentation.
- Standardize operational practices to ensure consistent execution across the sales function.
- Provide structured support for cold calling, prospect list development, and outbound outreach campaigns.
- Ensure outreach activities are accurately documented in the CRM with proper follow-up tasks.
- Support meeting scheduling and follow-through for prospect engagement activities.
- Review the tradeshow and event calendar, tracking deadlines, registrations, required materials, collateral preparation, and logistics.
- Coordinate pre-event preparation and ensure post-event follow-up tasks—including lead imports and reporting—are completed accurately.
- Work with Sales Leadership to ensure event participation aligns with strategic objectives.
SERVICE LEVEL AGREEMENT
Internal
- Uphold CU*SOUTH Code of Conduct and PRAISE Core Values
- Provide same-day response to all internal inquiries received by noon that day, provide next-day response to all others, establishing a priority to urgency on all requests (based on scheduled hours)
- Provide internal support to all CUSO Development lines of business accordingly, to advocate and encourage internal collaboration
External

JOB QUALIFICATIONS
- High School graduate or equivalent is required.
- Two-year degree in marketing or business-related field or equivalent work experience is required.
- Four-year degree or equivalent work experience is preferred.
- Four years’ experience in a sales role selling and marketing data processing and software products to the financial union/banking industry.
- Good communication skills: the ability to deal with external clients as well as internal staff
- Ability to establish and maintain effective working relationships with the Management Team and employees.
- Excellent attention to detail.
- Professional appearance and demeanor.
- Ability to use discretion when dealing with sensitive or confidential data.
