REPORTS TO: Director of Development


SUPERVISES: None SALARY RANGE: $20.00-24.00/Hour DOE

JOB SUMMARY: The Donor Relations Coordinator supports and enhances the organizations fundraising efforts by cultivating meaningful and lasting relationships with donors. This role ensures that donors receive consistent, personalized communication and recognition, and that their contributions are acknowledged and stewarded effectively. The ideal candidate is detail-oriented, personable, and committed to advancing the organizations mission through donor engagement and development support. This position works closely with the Development Associate and Director of Development.

PRINCIPAL RESPONSIBILITIES:

Donor Stewardship & Acknowledgment:

  • Ensure timely and accurate processing of donor acknowledgments and thank-you letters.
  • Manage donor matching requests, tributes, memorials, or honoree gifts, acknowledgments, and donations of stock. This includes data entry of donations, preparing letters of appreciation, and notifying the accountant of gifts.
  • Oversee the saving and storage of acknowledgment letters in in Donation Finance Drive.
  • Coordinate personalized stewardship efforts, including donor recognition events and milestone celebrations.
  • Oversee and engage our monthly (recurring) donor program

Database & Records Management:

  • Maintain up-to-date and accurate donor records in the CRM/fundraising database, Salesforce.
  • Track donor communications and engagement activities to support relationship-building efforts.
  • Track all in-kind donations, including working with staff to complete forms upon donation arrival, identifying gift value, sending letters of appreciation, and notifying the accountant of the donation.

Communications & Engagement:

  • Assist in drafting donor communications, including newsletters, email updates, and special campaign materials.
  • Support the development and execution of donor engagement strategies and campaigns.
  • Assist with direct mail campaigns by providing requested data downloads to the direct mail vendor (RKD) and using their mail reports to update donor information in Salesforce.

Event Coordination:

  • Collaborate with the Communications team to plan and execute donor appreciation events, fundraising events, and campaign launches.
  • Serve as a liaison to donors during events, ensuring a high level of hospitality and professionalism.

Reporting & Analysis:

  • Generate donor and gift reports for internal use and to support Development planning.
  • Monitor donor retention and giving patterns to help inform stewardship strategies.

Collaboration:

  • Work closely with other departments, including Communications and Finance, to ensure consistent messaging and accurate gift tracking.
  • Provide administrative support to the Development team as needed.
  • Direct volunteers and staff on tasks such as envelope stuffing, mailing, donor responses, and gift acknowledgments, as needed.
  • Finance projects as assigned

QUALIFICATIONS:

Required:

  • Ability to maintain confidentiality and demonstrate sound judgment.
  • Two or more years in an administrative capacity with extensive experience in data entry and customer service.
  • Demonstrated commitment to the mission and values of The Food Depot.
  • Strong written, verbal, and computer-related communication skills.
  • Excellent attention to detail and organizational abilities.
  • Ability to manage and prioritize multiple tasks and deadlines effectively.
  • Ability to work independently and collaboratively with other staff and volunteers.

Preferred:

  • Bachelors degree or equivalent experience in nonprofit management, communications, marketing, or a related field.
  • Proficiency with donor management systems (e.g., Raisers Edge, Salesforce, Bloomerang) and Microsoft Office Suite.
  • 2+ years of experience in fundraising, donor relations, or customer relationship management.
  • Experience in a nonprofit or mission-driven organization.
  • Familiarity with donor stewardship best practices and fundraising cycles.
  • Strong interpersonal skills with a customer service orientation.

PHYSICAL ENVIRONMENT

  • Employee will spend 75% of the time working at a stationary computer terminal and, 20% talking on the telephone to donors, and staff, and 5% supporting at various distributions.
  • Position functions in an office and warehouse environment
