Human Resources Assistant/Receptionist Position Summary

This highly visible position requires a motivated, energetic, and positive individual committed to delivering a “World Class Customer Service” experience. The HR Assistant/Receptionist manages front desk operations and provides administrative support to the Human Resources department. This role demands excellent organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The ideal candidate demonstrates initiative, professionalism, and sound judgment while working independently.


Human Resources Assistant/Receptionist Detailed Responsibilities

  • Greet and direct visitors, vendors, clients, and employees professionally and courteously.
  • Maintain a clean, welcoming, and organized reception area and company lobby.
  • Answer and route incoming calls; manage deliveries and incoming/outgoing mail.
  • Ensure visitor check-in, paperwork, and security protocols are completed accurately.
  • Maintain breakrooms and employee lunch areas, including restocking supplies and ensuring cleanliness.
  • Help with coordinating calendars, conference room bookings, and catering arrangements.
  • Assist with office supply orders and small event planning.
  • Respond to employee inquiries regarding HR policies, benefits, and procedures in a courteous and helpful manner.
  • Support benefit enrollment processes and assist with annual open enrollment activities.
  • Coordinate training and continuing education sessions, including tracking CEUs for licensed staff.
  • Provide administrative support to HR and executive staff, including overflow tasks and special projects.
  • Assist HR onboarding tasks, employee uniform (scrub embroidery) orders, and project coordination.
  • Perform other related duties as assigned.

Requirements:


Education and Experience

  • High School Diploma or Equivalent required.
  • Minimum of 2 years of experience in Human Resources
  • Minimum of 2 years of experience in an administrative support role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with HRIS systems is a plus.

Physical Requirements

While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel, reach with hands and arms and talk or hear. The employee is frequently required to sit and occasionally required to stand and walk. The employee may occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision and ability to adjust focus.
