Job DescriptionWe are looking for a skilled and detail-oriented Bookkeeper to join our team in Boca Raton, Florida. This role requires someone with a strong background in bookkeeping and office administration, particularly within a legal or law firm setting. The ideal candidate will take ownership of billing, collections, and trust account management while supporting day-to-day office operations.

Responsibilities:
• Manage accounts payable and accounts receivable processes with accuracy and efficiency.
• Handle billing and collections, including reaching out to clients assertively to ensure timely payments.
• Utilize QuickBooks for check processing, financial tracking, and maintaining organized records.
• Process trust account transactions and ensure compliance with legal and financial standards.
• Coordinate office supply orders and maintain inventory to support daily operations.
• Address incoming wires and resolve billing-related inquiries promptly.
• Support administrative tasks such as mail distribution and front desk responsibilities.
• Implement month-end accounting procedures in collaboration with an external CPA.
• Use Smokeball software to manage case-related financial tasks within a legal framework.
• Provide general office management support to ensure smooth day-to-day operations.• Minimum of 3 years of experience in bookkeeping and office administration, preferably in a legal setting.
• Proficiency in QuickBooks and trust accounting processes is required.
• Familiarity with Smokeball case management software or similar legal tools is highly preferred.
• Strong knowledge of accounts payable, accounts receivable, and general accounting principles.
• Ability to assertively manage collections and maintain clear and effective communication with clients.
• Detail-oriented and organized, with the ability to multitask effectively.
• Experience working in a law firm or understanding legal billing practices is a plus.
• Strong interpersonal and communication skills to collaborate with team members and external clients.
