Starting wage for this position is $20.44/hour.


Hours: This position typically works 20 hours per week with flexible scheduling.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Performs routine clerical and administrative work in answering phones, photocopying, receiving the public, providing customer assistance, cashiering, data processing, records management, and light bookkeeping.
  • Serves as cashier including receipting of various utility payments; posting monies to appropriate account.
  • Receives the public and answers questions; responds to inquiries from employees, citizens and others and refers, when necessary, to appropriate persons.
  • Assists in the procurement of department materials and supplies.
  • Operates listed office machines as required.
  • Receives, stamps, and distributes incoming mail, processes outgoing mail.
  • Composes, types, and edits a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness.
  • Inputs data to standard office and department forms; makes simple postings to accounts; compiles data for various reports.
  • Prepares records such as notices, minutes, and resolutions.
  • Establishes and maintains filing systems, control records and indexes using moderate independent judgment.
  • Maintains inventories and orders office supplies and materials, maintains departmental personnel records.
  • Schedules appointments and performs other administrative and clerical duties.

PERIPHERAL DUTIES:

  • Issues routine non-technical permits and licenses.
  • Operates a vehicle to run departmental errands.
  • Serves as a member of employee committees as assigned.

DESIRED MINIMUM QUALIFICATIONS:

Education and Experience:

  • Graduation from a high school or GED equivalent with specialized course work in general office practices such as typing, filing, accounting and bookkeeping.
  • Two (2) years of increasingly responsible related experience, or any equivalent combination of related education and experience.
  • Courses from a Vocational/Technical school in standard software applications is desirable.


Necessary Knowledge, Skills and Abilities:

  • Working knowledge of computers and electronic data processing; working knowledge of modern office terminology, practices and procedures; some knowledge of bookkeeping and accounting principles and practices; ability to maintain clerical records and prepare reports from such records; ability to make minor decisions in accordance with ordinances, regulations and departmental policies and procedures; ability to prepare effective correspondence on routine matters and to perform routine office management details with only general supervision.
  • Skill in operation of listed tools and equipment.
  • Ability to perform cashier duties accurately; ability to effectively meet and deal with the public; ability to communicate effectively verbally and in writing; ability to handle stressful situations.



SPECIAL REQUIREMENTS:

  • Possession of a valid drivers license is required.

TOOLS AND EQUIPMENT USED:

Motor vehicle, phone switchboard, calculator, personal computer including word processing, spreadsheetand database software, printers, fax machine, copy machines, postage machine, cash register, telephone, radio system, and a variety of office equipment.
