Job Summary

The role of Alternative Assets Associate plays a vital part in The Entrust Group`s mission to provide excellent customer service while educating our clients. In this role you will assist the clients with completing their forms, checking for additional documentation, and submitting requests through the Entrust portal. You will also help clients gain an understanding of the endless investment possibilities they can take advantage of within their IRA’s. You will collaborate with members of Sales, Transfers, Cash Management, Client Services, Distributions and Accounts Receivables daily to address clients’ questions and requests, research and resolve issues related to recordkeeping, asset management and fees.

The Alternative Assets position requires an independent thinker with multi-tasking abilities who can work well under pressure. This is a high volume fast paced work environment. The role is transaction driven which requires regular interaction with clients, financial institutions, and investment professionals to secure documents for client’s investments ensuring all the transactions are completed in accordance with industry compliance standards. You will be responsible for reviewing and processing the buys, sales, and exchanges for a variety of asset types. In this department you will have the opportunity to learn and interact with a variety of assets and investment types ranging from Private Equities to International Investments.

The associate will report to the Alternative Assets & Transfers Department Manager.

Responsibilities:

The duties and responsibilities of the role include, but are not limited to the following:

  • Manage the team Inbox filter emails according to appropriate folders
  • Assign all the new purchases, additional funding, exchange and sell requests, assign portal automated funding requests and track via spreadsheet and update it to reflect morning funding and canceled files
  • Reviewing, sorting, assigning, forwarding Client files and forms to the assigned processor(s) or department(s). Scan and vault any incoming mail (Stock Certificates)
  • Review and respond to incoming faxed, emailed and mailed requests and correspondence. Confirming receipt and status of the form(s) via email within the same day or two days at most.
  • Review and Assign signature requests received from the clients, investors and other miscellaneous requests for execution.
  • Assist with general phone and email inquiries from Clients, Business to Business (“B2Bs”), advisors and other staff members regarding pending transactions, Signature requests, fees, etc.
  • Resolve client issues by providing the best solutions, expediting corrections and following up with the client to ensure client satisfaction
  • Process funding requests by reviewing and processing the submitted forms and supporting documents for buys, sales, additional funding and exchange within one to two business days.
  • Saving copies of correspondence & transaction-related documents (i.e., Additional forms, written instructions from Client, etc.) on the Company’s cloud-based storage (DocStar).
  • Enter client’s paperwork e.g., including Buy Direction Letters (“BDL”) into the Portal, along with the submitted investment agreements.
  • Notating receipt of email inquiries and forms, correspondence, and phone interactions on the Client’s Account Overview Notes in the Entrust Portal.
  • Become a subject matter expert with all applicable The Entrust Group and IRS forms to best assist clients with their needs and ensure accuracy and completeness.
  • Cover tasks and responsibilities of other Alternative Assets Processors, when instructed by the Department Manager, as staffing availability and workload requires.
  • Assist in the company’s asset audit by reaching out to the client(s) and collecting all the necessary documents and information to complete the client’s asset file as per the compliance requirements.
  • Understand each client’s unique needs, preferences and expectations and deliver a service by providing them with effective, timely solutions.
  • Support the company’s growth by promoting a culture of excellence and delivering and outstanding customer service

Qualifications:

  • Experience in banking, finance, accounting, or related industries preferred
  • Experience in client services or related industries preferred
  • Excellent communication and business writing skills
  • Strong critical thinking, information retention, analytical, and problem-solving skills
  • Detail-oriented with strong data entry skills
  • Effectively works independently as well as in a team environment
  • Proven ability to handle multiple projects and to prioritize workload
  • Flexibility and a positive attitude while working with existing & prospective clients, and co-workers across departments
  • Deep sense of empathy and ability to communicate across diverse groups while holding to company policies and procedures
  • Working knowledge of self-directed retirement plans or retirement industry a plus
  • Must hold a bachelor’s degree
  • Proficient with Microsoft Office Suite

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Able to stand and walk for a minimum of 3 hours in an eight-hour workday.
  • Hand use: continuous keyboarding, frequent simple grasping, and occasional fine manipulation
  • Occasional bending, reaching, and twisting (waist level)
