POSITION SUMMARY

ESSENTIAL DUTIES AND RESPONSIBILITIES

Strategic Support & Administration

  • Coordinate executive calendars, meetings, and travel arrangements with precision and efficiency.
  • Prepare comprehensive meeting materials, facilitate discussions, and ensure timely follow-through on action items.
  • Create high-quality correspondence, presentations, and communications that reflect executive standards.
  • Handle sensitive information with the utmost discretion and professionalism.

Project Leadership & Coordination

  • Lead cross-functional project coordination, ensuring deliverables meet quality standards and deadlines.
  • Develop and maintain project tracking systems, timelines, and performance metrics.
  • Collaborate with department heads to streamline workflows and enhance operational efficiency.
  • Contribute to data analysis and strategic planning initiatives.

Process Innovation & Improvement

  • Identify opportunities for operational enhancements and help implement solutions.
  • Document and optimize workflows, procedures, and best practices.
  • Support the adoption of new technologies and systems that drive organizational growth.
  • Monitor key performance indicators and provide actionable insights.

Stakeholder Relations & Communication

  • Serve as a professional liaison between departments, fostering collaboration and information sharing.
  • Coordinate logistics for client meetings, industry events, and executive presentations.
  • Maintain and update customer relationship management systems and key contact databases.
  • Support internal communications and engagement initiatives.

EDUCATION AND/OR EXPERIENCE

  • Bachelor's degree preferred, or equivalent combination of education and relevant experience.
  • 3-5 years of progressive experience in administrative, operations, or executive support roles.
  • 2+ years of experience in commercial construction or related industry preferred.
  • Demonstrated success in fast-paced, deadline-driven environments.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with AI tools and workflow automation platforms.
  • Familiarity with project management software (e.g., Monday.com, Asana, Microsoft Project).
  • Knowledge of commercial construction management platforms is a plus CRM systems experience preferred.
