Fulfillment & Program Support Specialist
Reports to Administrative Director
Fulfillment Responsibilities
1. Responsible for bulk leader fulfillment, including fulfilling, shipping via UPS or USPS and closing the UPS file daily.
2. Responsible for approving orders within 24 – 48 hours
3. Responsible for transferring materials from fulfillment vendor to UP to ensure adequate inventory for in-house fulfillment
4. Responsible for contacting leaders who order literature to confirm contact information, email, mobile and website information. Also responsible for encouraging leaders to order Tier One program materials.
5. Responsible for updating NetSuite via phone calls to leaders, returns and website information
6. Responsible for meeting the fulfillment standards and goals set annually by UP
7. Responsible for convention display packing, shipment, tracking and unpacking
8. Responsible for assisting with collation of meeting or convention packets as needed
9. Responsible for data entry in database for received items, transferred items and items to be killed or destroyed.
10. Responsible for logging and handling returned materials
Mailroom and Fax Processing Responsibilities
11. Responsible for keeping the mailroom organized and stocked as needed
12. Responsible for being a back-up to the Customer Service Specialist for receiving and sorting incoming mail, placing mail in staff mailbox folders
13. Responsible for forwarding to UP staff that is working remotely, via scan or UPS, USPS or other carrier.
14. Responsible for monitoring UP fax machine for incoming faxes and distributing to UP staff as appropriate.
Receptionist Responsibilities
15. Responsible for covering daily receptionist lunch breaks and vacations
16. Responsible for consistently courteous, professional and dependable phone receptionist coverage, including screening calls, probing to ensure appropriate call direction, conveying accurate information to callers and discreetly paging staff as needed.
17. Responsible for greeting visitors and notifying staff of their arrival.
18. Responsible for handling package delivery including logging all deliveries; notifying recipients or secretaries of packages
19. Responsible for prompt processing and distribution of incoming mail including sorting, opening and date stamping non-specific addressed mail
20. Responsible for maintenance of the USPS Business Reply Mail Distribution and Account
Balance
21. Responsible for arranging for courier pickups and deliveries; maintaining accurate courier log
General Clerk Responsibilities
22. Responsible for assisting Administrative Director with office and kitchen supply orders and stocking supply shelves.
23. Responsible for daily metering of mail brought to the mail room including the printing and mailing of monthly MAP invoices .
24. Responsible for being the back-up to the Administrative Director to update postage meter, replenish postage meter funds and other hardware maintenance
25. As requested, responsible for assisting with replenishing ink cartridges and other hardware maintenance for all office copiers and fax machines
26. Responsible for assisting departments with clerical work as time permits and as assigned by direct manager.
27. Responsible for other duties as assigned.
Mortgage Assistance Program and Grant Responsibilities
28. Responsible for ensuring Senior Benefits Manager receives Mortgage Assistance Program (MAP) claim packages and Program Assistant receives all Veteran’s Grants (VG) claim packages on a timely basis by distributing MAP and VG grants claim packages received by mail by scanning/email, UPS, USPS or other carrier.
Responsible for processing basic grant information during peak volume periods, when needed.
Miscellaneous Responsibilities
29. As requested, responsible for assisting Marketing and Program Managers with mailings.
Position Requirements
1. This is a time-sensitive position requiring dependability and punctuality
2. Must be able to lift boxes weighing 50 lbs., lift and reach overhead
3. High level of accuracy and speed in data entry
4. Good verbal communication
5. Good telephone and customer service skills
6. Knowledge of unions and union program participation or ability to learn detailed information
7. Knowledge of UP programs or ability to learn detailed information and use computer- based tools to access information
8. Mid-level computer skills, including software, the internet and relational database
9. This position is not eligible for the compressed work schedule
