Job Description
SUMMARY
Candidate is primarily responsible for ensuring company’s contracting and business credentials are properly applied for, distributed, maintained and documented. Responsibilities frequently cross over into the area of taxation, and the licensing discipline is administered within the Tax Department (providing opportunities to work in concert with staff tax accountants).
ESSENTIAL FUNCTIONS
- Prepare applications, renewals, and payments for contractor/business licenses, registrations and permits, while partnering with other departments (as required) in the process. Maintain license repository enabling a transparent environment for company credentials. (In the event licenses or registrations are processed by other departments, Analyst will be responsible for receiving and retaining similar credentials within central repository.)
- Monitor expiration dates of contractor/business licenses, registrations and permits to ensure necessary credentials remain current and active, and do not lapse. Provide assistance with strategies relating to hiring, replacing and assigning subject matter experts (qualifiers) to specific construction industry credentials. Research eligibility of candidates, and work with management to assess optimal ways to transition existing and future personnel.
- Perform statutory and municipal research to ensure industry compliance and to fulfill optimal operating strategies for potential growth or expansion into other state and local markets.
- Prepare and provide reports to management (as required) in relation to licensing metrics, including annual costs. Supply corporate documents to other departments such as Fleet, Marketing, DOT, Safety and HR. Support teams with applications and disclosures required for regulatory compliance. Research regulations for new or existing divisions and new trade or contracting work scopes. Develop routine status reports and present to management at periodic meetings. Contribute to (or develop) processes for continuous improvement. Support divisions with license applications and questions. Help to train divisions regarding license compliance processes and current license policy protocols.
- Decision-Making Level and Scope – Job entails decisions regarding how tasks within the licensing scope should be prioritized and completed, and how compliance documentation will be optimally processed. Decisive action must be taken in order to successfully handle various work streams involving deadlines, while ensuring the integrity of content on applications and without compromising accuracy.
EDUCATION AND CERTIFICATIONS
- Minimum Degree: Bachelor’s Degree (paralegal, accounting or tax, construction background a plus)
- Course of study: Accounting, Tax, Legal, Contracting Operations
EXPERIENCE
- Minimum experience: Minimum 3-5 years of related experience
- Preferred Industry Experience (Construction, Specialty Contracting, State Compliance, etc.):
- Legal Age Requirements: At least 18 years of age
REQUIRED SKILLS
- Excellent writing and oral communication skills.
- Proficiency with Microsoft products (Word, Excel, PowerPoint, SharePoint)
- Experience creating and working with spreadsheets, and pivot tables
- Able to draft concise and clear correspondence to support applications and abate penalties
- Detail oriented when reviewing and completing applications
- Familiarity with state agency regulations
- Strong research and organizational skills
- Able to maintain confidentiality and adhere to high standards of integrity and ethics
