About the Role:

Join our established Kailua-Kona team as a Real Property Document & Client Services Coordinator. You will be the essential support system for our office, ensuring the seamless and accurate processing of critical legal and real property documentation for our clients.

Key Contributions & Responsibilities:

  • Client Communication Hub: Serve as the professional first point of contact for clients, partners, and vendors, managing incoming calls and directing inquiries effectively.

  • Critical Document Management: Execute the final, critical steps in real property transactions, including accurately recording Deeds and other necessary documents with the appropriate authorities.

  • Quality Assurance: Perform detailed proofreading and quality checks on all recorded documents and official correspondence, ensuring 100% compliance and accuracy.

  • Information Flow: Manage daily logistics, including processing, scanning, and distributing all incoming and outgoing mail and deliveries.

  • File Initiation: Initiate the client journey by accurately setting up, tracking, and maintaining new and existing client files in our database.

  • Office Administration: Maintain supply inventory, coordinate basic office functions, and ensure the workspace is organized and efficient.
