Leumas is seeking a highly organized and detail-oriented Office Manager to oversee day-to-day internal IT coordination and administrative operations. This role serves as the internal liaison between staff and Miles IT, our external technology partner, ensuring seamless technology support and operational continuity across the organization. In addition to managing Microsoft 365 tools and facilitating user support, the Office Manager plays a critical role in maintaining office infrastructure, coordinating vendor relationships, and supporting employee engagement initiatives. The ideal candidate thrives in a dynamic environment, demonstrates exceptional attention to detail, and brings a proactive approach to problem-solving and process improvement.
Key Responsibilities
IT Oversight & Vendor Coordination:
- Serve as the primary internal point of contact for Miles IT, ensuring timely resolution of tickets and service requests
- Monitor IT performance and escalate issues as needed to external vendors
- Coordinate IT onboarding/offboarding processes in collaboration with Miles IT
Microsoft 365 Administration:
- Manage internal use of Microsoft 365 tools including Intune, Power Apps, SharePoint, and Teams
- Support internal users with M365-related issues and training
- Maintain and optimize internal workflows using Power Automate
Office & Vendor Management:
- Oversee office supply inventory, procurement, and vendor relationships
- Manage vendor contracts and service agreements for non-IT services (e.g., office equipment, supplies)
- Track and reconcile office-related expenses and budgets
Technology Support & Process Improvement:
- Provide Tier I/II support for internal staff and leadership
- Maintain internal documentation for IT processes and user guides
- Identify opportunities for automation and process optimization
- Support internal systems like Fast Field Forms and SharePoint organization
Security & Compliance Support:
- Coordinate with Miles IT to ensure cybersecurity protocols are enforced
- Monitor compliance with password policies, MFA, and access controls
- Assist with audits and documentation related to IT security and compliance
Office Administration & Employee Engagement:
- Maintain a high level of attention to detail in all administrative and operational tasks
- Track employee engagement initiatives and recognize key dates such as Administrative Professionals Day
- Assist with planning and implementation of corporate outings, leadership retreats, and team-building events
- Manage and update corporate manuals and planner flow documentation
- Oversee breakroom management, including stocking supplies and snacks to support employee morale
- Provide backup and assistance to the Employee Actions Specialist during onboarding processes
- Support general office administrative functions such as scheduling, internal communications, and supply ordering
- Maintain organized filing systems and ensure documentation is up to date and accessible
Qualifications & Skills
Required:
- Experience with Microsoft 365 administration (Intune, SharePoint, Teams, Power Apps)
- Strong organizational and communication skills
- Ability to manage vendor relationships and coordinate service delivery
- Familiarity with IT support processes and ticketing systems
- Proficiency in process documentation and user training
Preferred:
- Experience working with external IT vendors or MSPs
- Knowledge of Power Automate or low-code automation tools
- Background in office operations or facilities coordination
- Certifications in Microsoft 365, ITIL, or CompTIA a plus
