NorthStar Memorial Group is seeking a Clerical & Admin Specialist at Chapel of the Chimes in Oakland. Our administrative teams assume the crucial role of ensuring seamless operations throughout every stage of the delicate client family life cycle, from the initial meeting with families, until final arrangements are made. We serve as the cornerstone of our client family support structure, acting as the glue that holds everything together. We are seeking a detail-oriented and compassionate individual to join our administrative team. This position plays a vital role in supporting families and ensuring accurate processing of cemetery contracts. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional attention to detail, and provide outstanding customer service during sensitive times.
Responsibilities
- Maintain Master files (e.g. creating/providing copies, merging/duplicating, keeping track, and scanning master files into HMIS.)
- Process all Pre-Need and At-Need cemetery contracts
- Upload and manage data in HMIS, including funding confirmations and payment schedules
- Schedule appointments for Pre-Need and At-Need services
- Manage recurring payment schedules and corrections
- Handle first calls and provide phone support for inquiries
- Provide cemetery desk presence for walk-in families and assist with property location
- Update Map Book and synchronize data with HMIS
- Manage aftercare follow-up for cemetery contracts
- Operate a telephone system handling a large call volume
Qualifications
- 2+ years of administrative support experience
- Computer knowledge (Windows, MS Word, MS Excel, HMIS, word processing, spreadsheets, database and presentation software)
- Ability to work well in a team-based environment
- Ability to learn new software and conduct new tasks
- Professional communication and organizational skills
- High School Diploma or equivalent
Compensation
- $22-23/hr.
