Job Position: Accounting Associate

Job Overview: The Accounting Associate will manage and execute all accounts payable functions, ensuring the timely and accurate processing of vendor invoices and payments.

Responsibilities and Duties:

  • Process Accounts Payable vendor invoices, purchase orders, and payment requests accurately and efficiently
  • Proactively investigate and resolve discrepancies between invoices and statements
  • Maintain a schedule to track and ensure monthly recurring vendor invoices have been received and paid on time
  • Reconcile company credit card statements and upload details into the accounting software
  • Prepare and process payment runs (check, ACH, and wire transfers), ensuring that all payments are accurate, on time and proper documentation is attached
  • Upload Positive Pay details into the bank portal to prevent fraudulent activity
  • Maintain electronic files and attach all supporting documents (invoices, packing slips, and internal approvals) to every transaction
  • Act as the primary point of contact for completing new vendor credit applications, adding or updating vendors, and requesting documentation (W-9s) for vendor records
  • Manage 1099 reporting and filing, including preparation and submission of the annual 1096 transmittal form
  • Evaluate existing accounts payable process and recommend improvements to streamline operations, reduce errors, and improve efficiency
  • Manage collections on past due accounts receivable to ensure timely payment and reduce outstanding balances
  • Purchase, track, and stock all office supplies
  • Perform other duties as assigned

Qualifications:

  • Able to work independently and as part of a team in a high-growth environment
  • Ability to adapt to new technologies and systems
  • Excellent communication skills, both written and verbal
  • Highly organized with strong skills to manage multiple priorities and meet deadlines
  • Proficiency with Microsoft Office Suite, particularly Excel
  • 3-6 years of Accounts payable experience

Job Type: Full-time
