We are seeking a dynamic and proactive Marketing and Admissions Coordinator to join our team at Westgate Villa Assisted Living Facility. As the Marketing and Admissions Coordinator, you will serve as a key support role for the Executive Director and other departments within the facility. This versatile position will involve a variety of tasks, including property inspection, office management, advertising and promotions, administrative support, and more. The ideal candidate will be a "jack-of-all-trades" with strong organizational and communication skills, the ability to manage multiple tasks simultaneously, and a positive, solution-oriented attitude.
You will be at the heart of our operations, ensuring smooth day-to-day functionality while providing high-quality support to our residents and staff. A passion for senior care and an ability to handle sensitive information with discretion is essential in creating a warm and welcoming atmosphere.
RESPONSIBILITIES:
- Oversee the full lifecycle of residency, including interviewing applicants, assigning rooms, maintaining accurate bed counts, and coordinating transfers or discharges.
- Ensure all admission papers, permits, and legal authorizations are signed, filed, and forwarded to the correct departments in accordance with Medicare, Medicaid, and facility policies.
- Explain complex information to residents and guardians, including room rates, billing procedures, facility rules, and resident rights.
- Update and manage the resident master card file, daily/monthly census reports, and the resident waiting list to ensure data accuracy.
- Act as a hub between departments by notifying nursing staff of new arrivals, forwarding medical records, and collaborating with the business office and social services.
- Protect resident rights by maintaining strict confidentiality of medical information and ensuring all residents are treated with individuality and privacy.
QUALIFICATIONS:
- High School Diploma (required).
- MediCal experience preferred.
- Admissions and Customer Service experience preferred but not required.
- Ability to operate office and accounting machinery and high comfort with computers, specifically regarding data input and output.
- Strong command of the English language (written and verbal) with the ability to follow complex instructions and deal tactfully with residents, families, and the public.
- The ability to remain calm and level-headed in emergencies and cope with the mental and emotional stress inherent in a healthcare environment.
- Proven ability to make independent decisions when necessary, maintain personal integrity, and work flexibly without constant supervision.
