Client Services & Executive Support Manager Nashville, TN | Full-Time

Fidelis Academy & Protection Services is seeking a highly organized, client-focused professional to join our growing team. This in-office role blends client account management, executive support, HR coordination, and operational excellence. Key Responsibilities

1. Client Relationship Management

  • Build and maintain professional relationship with clients.
  • Serve as the primary point of contact for client inquiries and invoicing
  • Conduct regular check-ins via email to communicate service updates and confirm scheduled staff, events, etc.

2. Service Delivery Oversight

  • Oversee implementation and management of security services scheduled to ensure alignment with client expectations.
  • Collaborate with internal teams to deliver timely, effective service.
  • Monitor, track, and report on service performance metrics.

3. Business Development Support

  • Identify opportunities for account growth and new service offerings.
  • Partner with the leadership team to present new solutions for internal processes to support clients.
  • Participate in contract and support renewals.

4. Problem Solving & Issue Resolution

  • Respond promptly to client concerns to enhance satisfaction.
  • Proactively identify potential risks and recommend solutions to mitigate issues.

5. Industry Knowledge & Client Education

  • Stay informed on industry trends, security technologies, and regulatory changes.
  • Educate clients on best practices in security management and risk mitigation determined by leadership team.

Executive Support & People Operations Responsibilities

6. Executive Support

  • Manage executive calendars, travel, schedules, and meeting coordination.
  • Prepare documents, presentations, and reports for leadership.
  • Serve as a liaison between executives and internal stakeholders.

7. HR Administration

  • Assist with recruitment: job postings, resume reviews, interview scheduling.
  • Support new-hire onboarding and ensure smooth integration into the company.
  • Maintain employee records and ensure HR compliance.

8. Employee Relations

  • Act as a point of contact for employee questions regarding policies, benefits, and procedures.
  • Assist with employee engagement activities, trainings, and culture initiatives.
  • Support and promote positive workplace culture, professionalism and reliability.

9. Project Coordination

  • Assist with special projects directed by leadership or HR management.
  • Conduct research and prepare summaries to support decision-making.

10. Operations Management

  • Maintain office supplies and equipment, ensuring a functional workplace.
  • Streamline administrative processes to enhance operational efficiency.

Qualifications

  • Bachelor’s degree in Business, Security Management, Human Resources, or a related field (preferred).
  • Proven experience in account management, executive support, HR coordination, or similar role—security industry experience is a plus.
  • Strong understanding of security services, HR practices, and administrative operations.
  • Excellent communication and interpersonal skills.
  • Ability to analyze data and provide actionable insights.
  • Strong organizational, multitasking, and time-management abilities.
  • Proficiency in Microsoft Office Suite, CRM systems, and HRIS tools.
  • No prior criminal convictions; background checks will be conducted.
