Position- Program Coordinator

Location: Hybrid – Bronx, NY
Pay Rate: $30–$35/hour
Employment Type: Contract (3+ Months, Extension Possible)

About the Role

We are seeking a highly organized and proactive Program Coordinator to support program operations, stakeholder engagement, and project execution within a fast-paced environment. The ideal candidate will possess strong communication, organizational, and project coordination skills, with the ability to manage multiple priorities while ensuring timely and accurate program delivery.

Key Responsibilities

  • Serve as the primary point of contact for program stakeholders and maintain effective communication with internal departments.
  • Coordinate meetings, including scheduling, electronic invitations, agenda preparation, meeting minutes, attendance rosters, and follow-up activities.
  • Develop and maintain workflows that ensure efficient program operations and seamless participant progression through program activities.
  • Manage program databases, records, and reporting tools, including Excel-based tracking systems.
  • Gather project and event requirements, define objectives, and support successful planning and execution.
  • Facilitate project documentation, including timelines, milestones, action items, and deliverables.
  • Monitor project progress and proactively identify potential non-clinical risks, delays, resource constraints, or operational challenges.
  • Escalate project barriers and concerns to leadership and project sponsors in a timely manner.
  • Track team performance against established goals, milestones, and deadlines.
  • Collect, analyze, and report program outcomes, feedback, and success metrics.
  • Prepare project reports, presentations, and status updates for leadership and stakeholders.
  • Collaborate with program leadership to support accreditation, designation, and compliance-related initiatives.

Required Qualifications

Education

  • Bachelor’s Degree required.
  • Master’s Degree preferred in Healthcare, Business Administration, Engineering, Public Health, or a related field.

Experience

  • Minimum 1–2 years of experience in program coordination, project support, scheduling, resource coordination, or administrative operations.
  • Experience working in a fast-paced, deadline-driven environment preferred.

Required Skills & Competencies

  • Excellent verbal and written communication skills.
  • Strong organizational, planning, and time management abilities.
  • Ability to work independently and manage multiple priorities simultaneously.
  • Exceptional attention to detail and commitment to accuracy.
  • Strong analytical and problem-solving skills.
  • Proficiency with Microsoft Office Suite, including Excel, Outlook, Word, and PowerPoint.
  • Experience with Learning Management Systems (LMS), program management tools, event management platforms, and workflow tracking systems is preferred.
  • Ability to collaborate effectively with cross-functional teams and stakeholders.
