Our Saviour’s Community Services (OSCS) provides dignified shelter and housing for single adults and basic education classes to adult English language learners in the Phillips Community of South Minneapolis. OSCS takes its name from Our Saviour’s Lutheran Church (OSLC), which founded our programs in the early 1980s. In 2004, we became a legally and financially independent nonprofit. This role will serve as a primary point of contact throughout an upcoming capital campaign for Campaign Consultants, Campaign Chairs, the Campaign Committee, and key staff. In addition to campaign-related coordination, this role will support and facilitate routine tasks and special projects to support the OSCS board of directors, Executive Director, and Development and Communications team.

The position necessitates a high level of professionalism and discretion. The successful candidate will provide administrative, database, and project management support to properly execute the duties and tasks related to the campaign and support the work of the Executive Director.
This is a full-time, non-exempt position reporting to the Executive Director. The role is primarily on-site but offers a hybrid work option, allowing the employee to split their time between working from home and the office. Standard work hours are Monday through Friday, 9:00 a.m. to 5:00 p.m., with occasional evening and weekend hours required based on organizational needs.

Primary Duties and Responsibilities

  • Manage the Executive Director’s calendar, including scheduling and confirming internal and external engagements, coordinating meeting logistics, preparing necessary materials, and assisting the Executive Director with project and time management.
  • Provide strategic administrative support to the Board of Directors and Board committees, including actively managing the board landing page and file maintenance, coordinating meetings, preparing agendas and materials, and documenting actions and follow-up items.
  • Conduct research, track follow-up items, and assist with problem-solving on key issues requiring executive attention; provide thoughtful recommendations and draft appropriate responses as needed.
  • Collaborate with the Development and Communications team to ensure accurate meeting notes are captured and delivered on time (as appropriate) to relevant stakeholders, and follow-up as needed after meetings, including committee member actions, donor record updates, notes, and outcomes in the donor database and other electronic records in a timely manner.
  • Support internal and external stakeholder meetings, including establishing key details and providing meeting preparation materials as necessary.
  • Support the planning and coordination of campaign cultivation and stewardship events, including tours, groundbreakings, small gatherings, and other events as identified by the staff and Campaign Committee.
  • Coordinate and collaborate with external partners including Our Saviour’s Lutheran Church.
  • Communicate consistently and respectfully with the Board, staff, volunteers, representatives of organizational partners, and donors.
  • Work with other staff to ensure the success of all.
  • Participate in donor gatherings, meetings, and events as needed.
  • Other duties as assigned.

Required Skills and Abilities

  • Strong technical abilities in Microsoft Office Suite, particularly using Outlook, Excel and PowerPoint, and adept with technology like projectors, and hybrid meeting equipment.
  • Ability to travel to and from in-person meetings.
  • Excellent organizational and communication skills.
  • Ability to function independently and in collaboration with staff, Board, and volunteers.
  • Detail-oriented and able to manage multiple projects simultaneously.
  • Meets deadlines in a fast-paced work environment.
  • Ability to take initiative to solve problems and follow directions as needed

Required Experience and Qualifications:

  • 2+ years of relevant experience working as executive assistant, or in a development or project management role.
  • Strong understanding of executive office operations, governance practices, and organizational management within nonprofit or mission-driven settings.
  • Familiarity with board relations and experience supporting board and committee operations.
  • Experience with fundraising; Experience working on a campaign to raise funds for new construction is a plus.
  • Knowledge of information management systems, including board portals, shared drives, and digital filing systems.
  • Experience with event planning preferred.

Pay: $25 - $27/hr
