Job Summary:
We are seeking a professional and customer-focused Receptionist to join our team. In this role, you will be the first point of contact for clients and visitors, ensuring a welcoming and efficient front desk experience. You will also provide essential administrative support to maintain smooth office operations while playing a key role in coordinating collective activities and managing external service providers.
Responsibilities:
- Greet and assist visitors, clients, and employees with a professional and friendly demeanor.
- Answer, screen, and direct phone calls to the appropriate departments.
- Manage the front desk area to ensure it is clean, organized, and presentable.
- Handle mail distribution, deliveries, and courier services.
- Maintain office supplies inventory and assist in reordering when necessary.
- Provide administrative support such as scheduling appointments, filing, and data entry.
- Address and resolve basic inquiries or redirect complex issues to the appropriate staff.
- Coordinate activities of collective interest by managing email communications, customer interactions, and phone calls to support the company’s initiatives.
- Serve as a liaison with external service providers responsible for the upkeep of common building areas, such as air conditioning systems, elevators, and maintenance services.
- Supervise and maintain discipline in the front desk area, ensuring a professional and efficient environment by controlling access, keeping doors closed, and promoting a quiet workspace.
Qualifications:
- Fluent in English and Spanish (written and spoken preferred).
- Prior experience as a receptionist or in a customer service role (preferred)
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Professional appearance and communication skills.
- High school diploma or equivalent.
