Assistant Head of School


About the Role
The Assistant Head of School will be a key leader in launching and managing the daily operations of Warren YES. This role ensures the school runs smoothly by overseeing logistics, compliance requirements, transportation, student culture, family engagement, and community partnerships. The Assistant Head of School also supervises the school’s operational staff and supports the successful start-up and ongoing functioning of the school.

Location: Warrenton, NC (Opening August 2026)
Work Arrangement: Remote for first 4 months; in-person once the school year begins. This is a full-time, 12-month-per-year school-based position.
Start Date: February 2, 2026

Compensation:

  • Startup Phase (February 2 – June 30, 2026): A prorated launch-phase stipend of $25,000 for operational startup work.
  • Ongoing Annual Salary (Beginning July 1, 2026): $68,000 annually as the full-time, 12-month Assistant Head of School.


Key Responsibilities

School Launch & Setup

  • Assist with project management and deliverables connected to the Ready-to-Open (RTO) process.
  • Support preparation for the August 2026 opening, including procurement, facilities readiness, and compliance requirements.
  • Manage custodial staff and other operational staff assigned in the organizational chart; oversee building readiness; and ensure that all facilities are clean, safe, well-maintained, and efficiently operated.
  • Support the hiring and onboarding of additional operational staff as needed for school launch and ongoing operations.
  • Lead the development of all operational systems required for school launch, including identifying vendors, securing contracts, establishing processes, and coordinating directly with state agencies, service providers, and community partners. The Assistant Head of School is expected to bring forward researched solutions and recommendations to support timely decision-making by the Head of School.
  • Additional duties may be assigned by the Head of School as needed to support the successful launch and ongoing operations of Warren YES.


Once School is in Operation:


Daily Operations

  • Manage logistics, including attendance systems, transportation coordination, food services, and supply/inventory management.
    • School scheduling, including classroom rotations across shared spaces (e.g., exploratory, outdoor).
    • Transportation coordination, including field trips
  • Manage the hiring, onboarding, and supervision of operational staff—including front office personnel, operations assistants, custodial/maintenance staff, and other non-instructional roles identified in the organizational chart—as well as oversee vendor communications and operational contracts.
  • Oversee arrival/dismissal procedures and safety drills.
  • Continuously evaluate, refine, and improve operational systems to ensure efficiency and effectiveness. Identify operational gaps and propose strategic solutions to the Head of School.


Data Management & Enrollment

  • Maintain accurate records and assist with compliance and operational reporting.
  • Support student enrollment systems, ensuring all data is appropriately collected, updated, and reported.
  • Assist with enrollment events and logistics for family communications.
  • Own operational components of state and federal compliance, proactively ensuring that deadlines, reporting requirements, and audits are met without prompting.


Staff & Student Support

  • Serve as a point of contact for staff operational needs (technology, HR paperwork, scheduling).
  • Ensure operational supports are in place to meet student and family needs.
  • Manage technology inventory, ensure students and staff have safe, reliable access to the school network, and support student/staff device distribution.
  • Serve as a problem-solver for operational challenges, removing barriers for staff and ensuring the Head of School is able to focus on instructional leadership and strategic decision-making.


Marketing & Communications

  • Develop flyers, visuals, and branded materials for family events and school communications using Canva or Photoshop.
  • Collaborate with the Head of School and communications partners to ensure consistent, high-quality messaging and visuals across platforms.
  • Assist with social media updates and content development to support outreach and community engagement.
  • Ensure all communication systems (Remind, newsletters, website updates) have clear operational processes and consistency across the school.


Finances & Budget

  • Support the Head of School in developing, monitoring, and managing the annual school budget to ensure alignment with strategic goals and fiscal responsibility.
  • Oversee day-to-day financial operations, including expense tracking, budget forecasting, and resource allocation, to promote transparency and efficient use of funds.
  • Develop procedures for purchasing, expense approvals, reimbursements, and vendor payments, ensuring strong internal controls and operational transparency.

A successful Assistant Head of School will drive key operational and administrative functions to ensure Warren YES has the infrastructure needed to continue the organization’s success and impact. A proactive operations leader who can independently research, source, and establish the systems required for a successful school launch. This person brings clarity where there is ambiguity, identifies the right contacts and vendors, and creates operational solutions without needing step-by-step direction. The ideal candidate will bring:

Qualifications

  • Bachelor’s degree required
  • 3+ years (or some other amount) of experience in public sector administration required, education administration preferred
  • Demonstrated experience in successfully managing a team of professional staff members.
  • Proficiency in Canva, Photoshop, or similar design tools for creating flyers, newsletters, and digital content.
  • Exceptional communication skills and proven ability to design and implement solutions to complex problems involving multiple stakeholder groups.
  • Strong organizational and project management skills with attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Comfort with technology platforms (Google Suite, spreadsheets, databases).
  • Mission-driven, flexible, proactive, and collaborative; able to adapt in a startup school environment.
  • Demonstrated ability to design and implement operational systems from the ground up, preferably in a startup or charter school environment.
  • Ability to work autonomously, anticipate needs, and present solution-driven recommendations.
  • Willingness to travel for conferences, strategic planning, and partner meetings.
