The Housing Authority of the City of Austin (HACA) is looking for an Admissions Clerk to join our high-performing Admissions Team. This role is responsible for efficiently managing a high volume of phone calls, staffing the agency's front desk lobby, and overseeing the prescreening and eligibility processing of incoming applications. HACA has been a leader in affordable housing in the City of Austin for more than 85 years. In partnership with the U.S. Department of Housing and Urban Development, local government entities, and numerous non-profit agencies, HACA provides access to safe, stable housing to over 20,000 individuals.
What you will do in this position:
- Managing High-Volume Calls:
- Answering and directing hundreds of phone calls per day, addressing caller inquiries, and ensuring callers are connected to the appropriate staff.
- Front Desk Operations:
- Greet and assist visitors and clients, determining the purpose of their visit and directing them accordingly.
- Application Screening and Eligibility Processing:
- Prescreen all incoming applications, conduct eligibility screenings for waiting list applicants, and ensure documentation is complete.
- Outreach and Communication:
- Perform regular outreach to waiting list applicants, including phone, email, and USPS mail communication. Maintain detailed records of all communication attempts using shared tracking systems.
- Waiting List Management:
- Maintain accurate waiting list records, place eligible applicants on relevant waiting lists, and send approval or rejection letters based on eligibility determinations.
- Document Management:
- Log, date stamp, and distribute incoming mail and applicant paperwork. Process and update applicant information in relevant software systems (e.g., YARDI).
- Annual Waiting List Purges:
- Assist department leads with the annual purging of waiting lists, ensuring all records are up-to-date.
- Mail Merge and Letter Generation:
- Prepare and mail thousands of applicant letters annually using Microsoft Word mail merge and store copies in the relevant database.
- Eligibility Assistance:
- Provide detailed explanations of eligibility requirements for PBRA, LIHTC, and HCV programs to the public, outside agencies, and waiting list applicants.
- Office Support:
- Monitor and order department supplies as needed, perform general office tasks, and offer administrative support to the Admissions team.
More about this position:
Qualified candidates must possess:
- Two years of college and/or business school; OR two years of general clerical experience. Related work experience may substitute for education on a year-to-year basis.
- Good knowledge of general office practices, clerical and secretarial procedures, business English, spelling, punctuation, and basic arithmetic.
- Ability to type at least 45 words per minute with accuracy.
- Ability to handle repetitive and detailed tasks accurately and efficiently.
- Proficiency with office machines, databases, Microsoft Word, Microsoft Excel, and IBM-compatible computers.
- Strong verbal and written communication skills.
- Ability to understand and follow complex written and oral instructions.
- Skilled in interacting with diverse individuals and maintaining effective relationships with residents, employees, and business contacts.
- Bondability.
- Valid Texas Driver's License, good driving record, and copies of diplomas and/or transcripts required.
