Position Summary

The General Office & Mailroom Support role serves as a key support position within the office and is often the first point of contact for clients, visitors, vendors, and callers. This role is responsible for maintaining a professional front-desk environment, supporting general office operations, and managing incoming and outgoing mail. The position ensures smooth daily operations through strong organization, communication, and attention to detail.

Key Responsibilities & Duties

Front Desk & Visitor Services

  • Greet clients, visitors, and vendors in a professional and courteous manner.
  • Operate the security system to open lobby doors for clients and visitors.
  • Verify visitor information and notify appropriate staff of arrivals.
  • Maintain a clean, organized, and professional reception and lobby area.
  • Restock all coffee stations throughout the building daily.
  • Maintain a professional appearance and represent the company positively at all times.

General Office Support

  • Answer and route incoming phone calls promptly and professionally.
  • Take accurate messages and deliver them in a timely manner via Clio and Slack.
  • Perform light data entry, document scanning, copying, and filing.
  • Assist with administrative tasks, special projects, and departmental support as assigned.
  • Monitor office supply levels and restock as needed; notify the Office Manager of supplies requiring reordering.
  • Support office meetings, events, and day-to-day operational needs.

Mailroom Operations

  • Receive, sort, scan, and distribute incoming mail, packages, and deliveries accurately and timely.
  • Prepare outgoing mail, including applying proper postage and creating labels.
  • Deliver outgoing mail to the post office up to two times per day, as required.
  • Maintain organization, cleanliness, and inventory of mailroom supplies and equipment.
  • Track certified mail, special deliveries, and items requiring confirmation or documentation.
  • Provide full mailroom coverage during absences or high-volume periods.

Physical & Operational Requirements

  • Perform physical tasks including lifting, carrying, and moving items up to 50 pounds.
  • Safely transport mail, packages, and office supplies throughout the building.

Compliance & Professionalism

  • Follow company policies, security procedures, and confidentiality standards.
  • Maintain discretion when handling sensitive or confidential information.
  • Represent the organization professionally in all interactions.

Required Skills & Qualifications

  • High school diploma or equivalent.
  • Prior experience in front desk, office support, or mailroom operations preferred.
  • Strong verbal and written communication skills.
  • Professional demeanor with a customer-service mindset.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Basic proficiency with Microsoft Office or Google Workspace.
  • Proficiency in Clio and Slack.
  • Reliable attendance and punctuality.
  • Ability to lift and move up to 50 pounds.

Preferred Skills

  • Experience in a legal or professional office environment.
  • Familiarity with phone systems and postage equipment.
  • Experience using printers, scanners, and other office equipment.
