DESCRIPTION:
Under the direction of the Affordable Housing Operations (AHO) Director performs a variety of tasks relating to the efficient operation of the Affordable Housing Operations Department. The position’s primary function is to provide administrative support to the AHO Director and to be the liaison between the Affordable Housing Director and the residents that report maintenance issues and complaints to the Authority regarding their housing.
RESPONSIBILITIES/ EXAMPLES OF WORK:[KG1]
1. Answer all incoming telephone calls to the AHO Department.
2. Assists AHO Director with investigation and resolution of confidential matters involving residents and
employees, as assigned.
3. Assists AHO Director with personnel matters, as assigned.
4. Document all incoming maintenance requests in the work order system.
5. Timely dispatch maintenance staff to incoming emergency work orders. Assign work orders to
scattered site maintenance staff.
6. Receive residents that come to AHO Office.
7. Prepare work order monthly reports and tally sheets for HAGC and GHA.
8. Apply for application and payment of annual landlord registrations with municipalities.
9. Prepare letters notifying residents of scheduled water treatment equipment at scattered site homes.
10. Prepare letters notifying residents of special inspections.
11. Prepare letters notifying scattered site residents of annual heater service after obtaining quote.
12. Review building camera video files at the direction of the AHO Director.
13. Maintain vendor list for HAGC and GHA on the Authority’s Z-Drive.
14. Update AHO forms maintained on Z-Drive as needed, directed by AHO Director.
15. Monitor/Record all incoming purchase orders that flow through the AHO Department to Finance.

18. Maintain/Order AHO office supplies.
19. Assist in emergency situations as needed.
20. Assists Building Superintendents and Property Manager with work order entry and closure.
21. Maintain Authority ban list on Z-Drive.
22. Add special notice to resident’s file regarding smoking violations in Tenmast.
23. Assist AHO Director in facilitating all vendor contracts to include, but not limited to carpeting,
extermination, elevator, fire and sprinkler, landscaping, laundry, security, snow removal and trash
removal.
24. Prepare Generate all necessary C&D notices, resident damage letters and general correspondence to
residents.
25. Monitor and scan all incoming correspondence directed to AHO from residents, outside agencies and
other HAGC departments and GHA.
26. Assist in planned and unannounced evacuation exercises at all buildings.
27. Maintain AHO’s PTO Calendar.
28. Assist AHO staff with tenant FOB requests.
29. Provide Superintendents information for updated resident directory boards.
30. Willingness to assume other tasks as assigned by AHO Director.
REQUIREMENTS:
1. Graduation from high school or vocational/technical high school or possession of an approved high
school equivalency certificate.
2. Ability to read, write, speak, and understand English sufficiently to perform the duties of this position
and to communicate effectively both verbally and in writing, using correct spelling and punctuation.
3. Ability to perform clerical tasks on a personal computer, ability to operate a computer driven printer,
ability to use a telephone system, FAX machine, photocopy machine and similar machines found in
the modern business office. All equipment must be used with accuracy and dependability with care
for equipment and protection of data stored.
4. Proficient in Microsoft Word, Excel and Outlook.
5. Prior experience with property management.
6. Willingness to act as a temporary “fill-in” employee for various positions, including performance of
functions not listed herein, during the temporary absence of employees.
7. Ability to respond to Authority during non-working hours if needed.
8. Ability to work harmoniously with residents, coworkers, vendors, supervisors, and other individuals
while performing the duties of the position.
9. Prior experience with public housing and low-income housing maintenance operations to include
lease enforcement experience.
10. Willingness to work at various locations in Gloucester County.
11. Willingness to attend periodic professional training seminars at the expense of the Authority.
12. Maintain a valid NJ Driver’s License.
13. Good health and freedom from disabling physical and mental defects which would impair the proper
performance of the required duties or which might endanger the health and safety of oneself or
others.
