Job Summary:

The Accounts Receivable/Order Specialist is responsible for administrative and accounts receivable duties. This role is the primary order processor and financial information contact for customers but also includes general office duties and some HR functions. A customer service mentality toward our clients and colleagues is expected as is helpful coordination with our parent company’s financial team.

  1. Arrive to work each day on time and prepared to be productive, knowledgeable, engaging, and helpful.
  2. Provide exceptional customer service always. Make it a priority to be courteous, friendly, helpful, and prompt to our clients, vendors, guests, and teammates.
  3. Daily processing of activated Sales Orders. Audit/Review of orders pending approval to ensure correct UOM, sales tax assessment, and inventory locations have been entered before sending to customers.
  4. Daily payment and credit application processing including running credit checks.
  5. Filing of lien documents based on municipal requirements.
  6. Customer service in coordination with the transportation and procurement teams.
  7. Professional communication of financial aspects of accounts receivables with clients and the internal team.
  8. Answering phones and directing calls to the appropriate person.
  9. Ordering weekly groceries and general supplies for the office.
  10. Assists with oversight of contracted cleaning services and responding to any specific maintenance needs with outside contractors, plumbers, electricians, etc.
  11. New employee onboarding in coordination with remote HR and IT services. Ensuring the workspace, technology, and services required are provided. Introductions to staff and hand-off to direct supervisor.
  12. Adheres to company policies, processes, and procedures.
  13. Strong problem-solving and independent judgment skills.
  14. Work safe always. Follow all required safety guidelines including incident reporting procedures.
  15. Assist other departments as well as perform other duties/special projects as assigned.
  16. All other duties as assigned.


Position requirements:

  1. Strong analytical skills and being detail oriented is required.
  2. Ability to work on strict deadlines.
  3. Computer skills to include MS Office and POS systems. Netsuite knowledge is preferred.
  4. Ability to change and adapt to a fast-moving business environment...technological changes and product advancements require an open mind and flexibility to be successful.
  5. Must be able to work evenings and weekends as needed or required.

Supervisory Responsibility

This position does not directly supervise any employees.



Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. The office environment is open and fast paced with a resident feline and frequent canine visitors. At times may visit other work environments such as warehouse and should abide by all safety standards set form by each location.

While performing the duties of this job, the employee is regularly required to sit; use hands to handle or feel and talk or hear. The employee is frequently required to reach with hands and arms. The employee is occasionally required to stand; walk and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 30 pounds and occasionally lift and/or move up to 50 pounds with aid. Specific vision abilities required by this job include hearing, close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Required Education and Experience

  1. Bachelor's Degree in Accounting (preferred) and/or equivalent work experience demonstrating strong knowledge of Accounting principles
  2. Accounts receivable experience and/or collections experience are highly desirable
  3. Organization, time management skills, ability to meet deadlines
  4. Strong independent problem-solving skills
  5. Good customer service and interpersonal skills
  6. Ability to handle a high volume of transactions
  7. PC proficiency and MS Office experience, Outlook, Word, Excel
  8. Netsuite experience preferred
