Position Summary:
The Executive Assistant will provide comprehensive support to the Chief Operating Officer (COO) and WGP Team, handling a wide range of administrative responsibilities. This individual will play a key role in facilitating coordination of information, report development and other areas to enhance the organizational effectiveness, communication, and planning within the department.
Essential Duties & Responsibilities
- Schedule and coordinate activities for the Chief Operating Officer and WGP team – internal and external meetings, deadlines, events, and appointments.
- Prepare business correspondence.
- Act as a point of contact between the executive, team and internal/external stakeholders when needed.
- Compile board materials and other documents for key meetings.
- Screen mail and correspondences for the COO.
- Assist in procurement and payment processes as directed.
- Assisting in the planning and execution of company initiatives and special projects.
- Schedule travel arrangements and maintain and prepare monthly expense reporting.
- Prepare documents and presentation materials, working in Word, Excel and PowerPoint as necessary.
- Gather data, create reports, and provide analytical support to aid decision-making.
- Manage and maintain electronic filing to support the COO and team.
- Anticipating needs, addressing challenges, and facilitating executive decision-making.
- Provide back-up for receptionist and other administrative professionals from time to time
- Other additional support duties as needed.
Who you are:
- High school degree required; Associate degree preferred
- More than 5 years of experience as an administrative professional.
- Strong typing skills
- Intermediate skills with the following applications: Outlook, Word, Excel, PowerPoint and Teams.
- Complete support of and willing adherence to Wenger’s mission, vision and core values. Applicant must hold these standards as his/her own.
- Ability to read and write reports, business correspondence, and understand standard operating procedures
- High-level of effective interpersonal communication skills, both written and verbal
- High level of confidentiality and professional demeanor
- Ability to manage third party relationships effectively
- Strong organization and time management skills
