Responsibilities· Coordinate Managing Partner and President's calendar, phone messages and emails to ensure that Principal responds to clients and employees in a timely manner.· Type and prepare documents, proposals and other correspondence.· Anticipate upcoming needs and initiate tasks to prepare and assist with those needs· Interact positively with employees at all levels of the organization.· Communicate professionally with clients.· Organize all agendas, files and correspondence for township Planning Board and Zoning Board meetings.· Reserve conference room and set up meetings including ordering meals and refreshments for employees and clients.· Ensure that conference rooms are cleaned and prepared for meetings and events· Keep inventory of office supplies including printer inks and toners. Order office supplies as needed.· Inventory office grocery items, order or purchase grocery items as needed.· Coordinate service on all office equipment as needed.· Receive and process all vendor invoices coordinating with Accounts Payable.· Maintain office petty cash and record all transactions for the Accounting Department.· Suggest improvements to policies and procedures.· The position includes all other responsibilities that may be necessary to fulfill the duties associated with the position or as may be assigned.
Qualifications· High School Diploma/GED· A minimum of 5 years of experience working as an administrative assistant supporting a project manager or other senior level position· Proficiency in Microsoft Office Suite and Adobe Acrobat· Capable of balancing multiple priorities with accuracy and attention to detail· Strong verbal and written communication skills
Preferred Qualifications· Associate’s Degree or Bachelor’s Degree in Business Administration or Marketing· Experience working for a municipal engineering office or similar professional service
