Location: This position is for our UE/MS building.

Pay: $17.87-$19.82 per hour, final rate will be determined depending on experience.

Hours:

1.) 8:00am - 4:00pm during regular school term plus approximately two weeks prior to school opening and two weeks after school closes.

2.) Summer hours approximately 12 hours per week (9:00am - 3:00pm Tues/Wed), up to 20 hours per week.

The school secretary is a key individual in communicating with students, parents, staff, the Admin Office, and other buildings throughout the district. This role requires that an individual maintain professionalism when dealing with all customer groups and have excellent organizational skills. District personnel should be familiar with many functions of the school district in order to give accurate information to customers with whom he/she comes in contact.

POSITION REQUIREMENTS:

EDUCATION LEVEL: High School Diploma or Equivalent

SKILL LEVEL: Ability to work well within a learning community with parents, teachers, students, administrators, and staff with courtesy, tact, and good judgment. Maintain confidentiality and integrity handling information and documents. Proficient in computer software with an emphasis in word processing and the Student Data System. Must have the ability to handle multiple tasks and prioritize accordingly, work independently, performing individual projects and routine matters with minimal direction or supervision. Must have the ability to think clearly in stressful situations and work well under pressure. Must have a high attention to detail for accuracy.

PHYSICAL REQUIREMENTS: Must have the ability to sit and stand for extended periods of time; exhibit manual dexterity; see and read a computer screen and printed materials with or without visual aids; hear and understand speech at normal office levels and on phone; and to bend, stoop, climb stairs, walk, and reach overhead. Occasional climbing and reaching.

WORKING ENVIRONMENT: Works indoors in a climate-controlled environment.

BACKGROUND CHECK: All successful applicants must pass a federal background check per SDCL.

Essential Functions:

  1. Regular, timely, in-person attendance.
  2. Manages the UE/MS office efficiently by performing daily routine tasks such as: receiving and routing all incoming telephone calls promptly; sorting and distributing mail; ensuring staff mailboxes are up-to-date with current staff names; maintaining an efficient filing system; locating and compiling information as requested by principal or Dean of Students; communicating messages to staff and students; greeting and directing all substitute teachers; collecting money from students for fines, lunch or other reasons; and generating and mailing communication to families or other entities as requested.
  3. Greets visitors, schedules appointments, and controls access of personnel and visitors to the building, to the principal’s and assistant principal’s office, school files, supply room, etc.
  4. Maintains accurate and up-to-date record of building key assignments
  5. Maintains all student records, both in Infinite Campus and cumulative files, ensuring each student has an up-to-date cumulative folder including birth certificate, immunization records, transcripts from other schools and any other pertinent information.
  6. Manages the movement of student cumulative files to the next building and the destruction of files based on the SD requirements for student permanent files.
  7. Manages teacher absences in Red Rover. Correct any information that has been entered incorrectly and assign substitutes for in-house coverage to make sure all subs receive payment. Collaborate with principal or Dean of Students to find class coverage in the absence of available substitutes.
  8. Administers medication to students as needed upon completion of medication certification.
  9. Maintains accurate record of daily student attendance from all classrooms each period of the day; Informs Principal and/or Dean of Students of excessive attendance issues.
  10. Issues classroom passes and tardy slips to students as needed.
  11. Prepares building communications utilizing the digital boards and daily/weekly announcements. Shares noteworthy accomplishments with Superintendent to be shared on District FB or Twitter pages.
  12. Provides clerical and organizational support for beginning and ending of the year, including New Teacher Workshop events, New Student Orientation, First Day of School, End of Year Student Checkout, etc.
  13. Collaborates with a variety of organizations (DV PTO, Boosters, After-Prom Committee, etc.) to provide information and organizational support to enable the successful implementation of activities and events that recognize and support our students.
  14. Provides clerical and organizational support for all school functions including, but not limited to, Parent/Teacher Conferences, Panther Day, School Pictures, Semester Tests, etc.
  15. Provides support and direction for new students by assigning lockers, ensuring the student has a student schedule, answering questions, etc.
  16. Facilitates any student transfer out of the school district including notifying the Admin Office, teachers, building principal, beginning the transfer process, and providing the next school district with student records upon their request.
  17. Manages and maintains inventory of all UE/MS office supplies. Submit order for annual supplies after July 1.
  18. Completes year-end reports by ensuring the following items: Identify and mark Foreign Exchange students; Make sure all students have a Start and End date and Status recorded; Identify and mark all homeless students. Record all student attendance correctly.
