Bookkeeping Assistant – Key Responsibilities
- Assist with Accounts Payable and Accounts Receivable, including invoicing, vendor payments, and aging reports
- Support monthly billings, track receivables, and assist with owner/lender draw requests
- Help maintain job costing, budgets, and cost tracking by project
- Assist with payroll processing and ensure labor, certified payroll, and prevailing wage compliance
- Prepare basic financial reports, reconciliations, and project summaries
- Maintain organized accounting and project documentation for audits and compliance
- Assist with cash flow tracking, forecasting, and cost controls
- Support tax reporting, 1099 preparation, and regulatory compliance
- Help manage accounting software and assist staff with proper coding and procedures
- Support process improvements and efficiency within the accounting team
Knowledge / Skills Required:
- Basic knowledge of bookkeeping and accounting principles
- Familiarity with payroll, invoicing, and job costing
- Experience with QuickBooks software preferred
- Strong attention to detail and organizational skills
- Knowledge of about certified/prevailing wage and construction-related accounting
Qualifications
- 2+ years of experience in construction bookkeeping (preferred) or accounting in a project-based environment
- Strong understanding of job costing, vendor/subcontractor billing, and payroll processing
- Proficiency in accounting software and Microsoft Excel, Google sheets
- Highly organized, accurate, and able to manage multiple deadlines
- Familiarity with grant-funded or government reporting is a plus
- Bachelor’s degree in accounting, finance, or related field preferred (but not required with strong experience)
