Job Summary:
The Executive Assistant is responsible for providing executive level support to the Stevens Pass General Manager (GM) and the resort’s senior leadership team. This position entails commitment to completing a wide variety of tasks and projects independently with strong attention to detail and follow-through. The primary goal of the Executive Assistant is to anticipate the needs of the GM, with an understanding of her schedule and priorities, allowing the GM to maximize her time and focus. The role requires a highly motivated and resourceful individual with strong learning agility, emotional intelligence, self-motivation, integrity and curiosity.

Job Responsibilities:
- Assist with other tasks that may be assigned
- Must be highly proficient in using company’s administrative software for communications, scheduling, document production, presentations, spreadsheets and any other tasks/applications that may become necessary to support the GM. Most heavily utilized software includes: MS Word, Outlook, PowerPoint, Teams, Excel, Coupa, Concur, RPOS, SmartSheets and Mountain Money
- Possess excellent self-management skills: organization, goal-setting, time-management, self-motivation, self-directing, stress management, reliability, change adaptability and accountability
- Demonstrate the desire and passion to learn and develop, particularly showing an ability to lead through influence
- Exhibit flexibility as well as the ability to work under time sensitive deadlines and changing priorities with accuracy, dependability and a positive attitude
- Strictly maintain confidentiality and discretion with executive-level communication. Exhibit strong judgment in handling sensitive information
- Ability to anticipate the needs of the GM - foresee and discuss potential conflicts or risks
- Prioritize and manage multiple assignments, including to act as a project manager supporting resort initiatives
- Inspire trust and build strong, positive, productive relationships with key stakeholders. Extensive internal and external guest service, as well as community relations, including courteous, professional communication and recovery efforts.
- Lead the resort admin team and partner with resort managers to support continuity of the resort’s business administration. Participate fully in the regional admin team and other cross-functional initiatives.
- Manage the calendar, travel plans, and expenses of the GM
- Schedule, plan and attend meetings, including to prepare notes and follow up on action items
- Oversee resort calendars and critical documents (Manager days off, MOD, permits, licenses, leases, budget calendar, org charts, contracts, dues, payments, A/R schedules, etc.). Monitor timely renewal of the same
- Coordinate local records retention process and manage resort archives
- Send resort-wide communication on behalf of the GM for upcoming commitments, responsibilities and announcements
- Support resort training programs, communication plans and management outreach
- Provide budgeting support, as it applies to the GM and resort-wide accounts
- Assist with planning and coordination of resort and company events as needed
- Onboard & assist in training new staff on VR and Stevens Pass process, policy and procedures
- Principal creator of Mountain Money for the resort
- Purchase, manage and maintain administrative office supplies and machines
- Demonstrate willingness and ability to support all front line operations during high volume time periods, as needed
Job Requirements:
- Bachelor’s degree or equivalent military or work experience
- 3+ Years previous administrative or equivalent work experience
- Adequate proficiency with Microsoft Office Suite and software systems to effectively complete assigned tasks
- Excellent written and verbal communication skills, including fluency in English
- Excellent organizational skills, strong foresight and emotional intelligence
- Ability to support the resort leadership, management team, employees and guests
The expected pay range is $22.43/hr - $34.15/hr. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
